Refreshment Services, Inc is a privately-held independent bottler for Pepsi-Cola products. With seven distribution centers located across the central and southern parts of the United States, Refreshment Services Inc. is the premier distributor for Pepsi and other brands of beverages and snacks.
This position will provide Accounts Receivable bookkeeping and general administrative support to the Business Office at our distribution center in Quincy, Illinois.
Key Responsibilities for Accounts Receivable
- Invoicing: Generate and issue invoices to customers for goods or services provided by the company.
- Payment Processing: Receive and process payments from customers, whether through checks, credit cards, or electronic transfers.
- Recordkeeping: Maintain accurate and up-to-date records of all transactions, including payments, invoices, and any adjustments.
- Reconciliation: Reconcile discrepancies between accounts and resolve any issues with customers regarding payments.
- Collections: Follow up on overdue payments and contact customers to ensure timely settlement of outstanding balances.
- Customer Communication: Communicate with customers to address inquiries, provide payment details, and resolve billing issues.
- Documentation: Maintain proper documentation for all financial transactions, ensuring compliance with accounting standards and policies.
- Collaboration: Collaborate with other departments, such as sales and customer service, to ensure accurate and timely processing of financial transactions.
- Back up: Perform backup duties for other office support professionals within the department.
Key Responsibilities for Administrative Assistant
- Answering and Directing Calls: Handling incoming phone calls, taking messages, and directing calls to the appropriate individuals or departments.
- Email Correspondence: Managing and responding to emails, handling routine inquiries, and forwarding important messages to relevant parties.
- Filing and Record Keeping: Maintaining organized filing systems for documents and records, both in physical and digital formats.
- Reception Duties: Greeting visitors, clients, or customers, and providing assistance or directing them to the appropriate contacts.
- Other duties as assigned.
Qualifications
- High school diploma or equivalent; associate degree in a related field is preferred
- Must have strong quantitative and analytical skills
- Must have an understanding of the sales process
- Must be self-motivated and be able to work with little direct supervision
- Must be organized with strong time management skills
- Must have excellent knowledge of Microsoft Office, specifically Power Point and Excel
- Must have a customer-service mindset
Job Type: Full-time
Pay: From $17.50 per hour
Expected hours: No less than 40 per week
