Accounts Payable Specialist 1FTE (40 hours/week)

POSITION SUMMARY*
The Accounts Payable Specialist will participate in and support all facets of the CAP Agency Finance Department responsibilities, with the primary responsibility for administering and maintaining Accounts Payable. The Accounts Payable Specialist works closely with vendors and CAP personnel resolving issues with invoices to ensure timely and correct payment. They provide general support duties that includes data entry, payment generation, vendor relations, and statement reconciliation.

Essential duties and responsibilities may include, but are not limited to, the following:*
- Responsible for Accounts Payable processing on a daily and weekly basis
- Manage administrative Accounts Payable requirements and best practices including Federal Form W-9 form processing, validation of vendor name and tax ID number, and validation that vendor is not on the federal disbarment list
- Timely and organized maintenance of appropriate filing systems for vendor payments, as well as planning for efficient and detailed storage and record keeping
- Assist with management of bank transactions
- Analyze, prepare, and issue Federal Form 1099s
- Monitor and manage credit card expenditures and prepare reports for Finance Committee and Board meetings
- Submit mileage and cell phone reimbursements to Human Resources for payroll processing
- Assist with month-end close process
- Provide backup for accounts receivable as needed
- Approve office supply orders as needed
- Performs other duties as assigned

POSITION REQUIREMENTS*
- Associate degree required – equivalent or relevant experience in place of degree acceptable
- 2 years of related work experience in fast paced Accounts Payable Department
- Excellent customer service skills
- Excellent oral and written skills
- Ability to effectively multi-task with tight deadlines
- Ability to define problems, collect and analyze date, establish facts, draw valid conclusions, and recommend solutions.
- Very organized, with a high-level of accuracy and attention to detail
- Able to prioritize time sensitive work and meet deadlines
- Experience with and knowledge of computerized accounting systems

LICENSE AND CERTIFICATION REQUIREMENTS*
A valid Minnesota State Driver’s License may be required.

PHYSICAL DEMANDS AND WORKING ENVIRONMENT*
Work is performed in a standard office environment which requires occasionally lifting such articles as file boxes or heavier materials with help from others and/or lifting and carrying light objects frequently. Mobility to drive a motor vehicle in order to attend meetings. A job in this category may require walking or standing to a significant degree or may involve sitting most of the time with long periods of computer work and heavy phone usage. There is potential for hybrid work after training.
