Addison Group is seeking a detail-oriented and experienced Accounts Payable Specialist to join the growing finance team of our client within the Non-Profit/Social Services Industry. The Accounts Payable Specialist will be responsible for accurately and efficiently processing invoices, reconciling accounts, and ensuring timely payments to vendors and suppliers, and more. The ideal candidate possesses 3-way matching experience (including coding and posting invoices to GL), a keen eye for accuracy, and a proactive approach to problem-solving. Additionally, candidates coming from the Construction, Property Management, and Real Estate industries will be preferred. The Accounts Payable Specialist role is a full-time position compensating up to $27/hr depending on applicable experience. ****This client is solely considering local Minnesota applicants, relative to the Twin Cities Metro****
Responsibilities:
- Process invoices, purchase orders, and expense reports accurately and in a timely manner.
- Verify and reconcile discrepancies in invoices and purchase orders; investigate and resolve any issues before processing payments.
- Collaborate with internal departments to ensure proper authorization and documentation for payments.
- Maintain accurate vendor information, including contact details and payment terms, in the Accounts Payable system.
- Review and monitor open purchase orders, ensuring accurate and timely invoice matching.
- Perform regular reconciliations of vendor statements and resolve any discrepancies.
- Prepare and process electronic transfers, check payments, and ACH payments.
- Prepare and analyze aging reports to manage outstanding payables and prioritize payments.
- Coordinate with the procurement team to ensure accurate and timely recording of goods received.
- Assist with month-end and year-end closing activities, including accruals and account reconciliations.
- Respond to vendor inquiries regarding payment status and discrepancies in a professional and timely manner.
- Maintain compliance with company policies, accounting principles, and relevant regulations.
- Contribute to process improvement initiatives to enhance efficiency and accuracy in the Accounts Payable process.
Requirements:
· Intermediate+ Excel proficiency (Pivot Tables & VLOOKUPs experience at a minimum)
· 2+ years’ experience processing full-cycle Accounts Payable invoices ideal.
· High school diploma or equivalent; AAS degree in accounting, finance, or related field is a plus.
· Strong attention to detail and accuracy, with the ability to work with numbers effectively.
· Excellent organizational skills and the ability to manage multiple tasks and deadlines.
