Job Description Summary:
The Accounts Payable Clerk for the complete Accounts Payable process including receiving invoices with proper authorization, coding and entry into the general ledger system, and processing and distributing checks to vendors.
The Accounts Payable Clerk provides services to individuals impacted by a variety of behavioral health (addiction/substance abuse and mental health) issues, recognizing that the individuals we serve often have experienced trauma that affects their development and adjustment. They demonstrate a warm and welcoming empathic, hopeful attitude, conveying a philosophy of dual recovery. They will be trained in trauma-informed care and will work to help provide services in an environment that is sensitive and responsive which will prevent victimization, abuse, or trauma as a result of the care received. The Accounts Payable Clerk will report directly to the Director of Accounting.
Responsibilities:
- Matches purchase orders to invoices received and verifies quantity, amount and times purchased to ensure accuracy.
- Enters all matched invoice and check requests into the MIP general ledger accounting system for payment in a timely manner.
- Monitors contracts to keep them up to date.
- Ensures all invoices, check requests, and reimbursements have the proper authorization as described in policy and procedures.
- Prints checks with the assistance of the Director of Accounting and creates the Accounts Payable and Cash Disbursement journal entries.
- Matches the checks to the invoices and ensures that the amount of the check totals the amount of the invoice batch per vendor.
- Post any electronic payments or work up any checks that come in the mail so that they can be posted in a timely manner.
- Filing of department paperwork, creation, and maintenance of patient files, as well as working mail that comes in.

Physical Requirements:
- Typical physical demands include prolonged sitting, frequent standing, bending, stooping, and occasional lifting.
- Requires normal range of hearing and manual dexterity sufficient to operate keyboard, telephone, photocopier, calculator, and other office equipment as needed.
- Requires ability to work under stressful conditions and to work irregular hours and deal with irate individuals.
