Warranty Administrator
The Warranty Administrator position prepares warranty claims in accordance with MHAG and factory standards and builds Customer loyalty by developing trust and ensuring confidence in Mac Haik Automotive Group as a caregiver for their vehicle safety and reliability.
Skills / Qualities Preferred Include:
- 1 Year Warranty Administrator Experience REQUIRED
- 1 Year Ford FMC Dealer and OWS Experience REQUIRED
- CDK Experience a plus
Essential Duties and Responsibilities
- Timely process all claims following repair order close date.
- Establish and maintain relationships with the manufacturers designated warranty representatives.
- Review every warranty repair order written for proper completion, accuracy and legibility according to the policies and procedures.
- Analyze problems, identify trends and develop strategies for maximizing claim process.
- Check each repair order against the vehicles service history to avoid duplicate claims.
- Provide routine reporting to the service manager regarding claim status.
- Report any fraudulent manipulation of warranty claims.
- Provide parts manager with updated parts listing on a regular basis.
- Conduct weekly audits of warranty and schedules, reviewing all old claims, and address any adjustments or write-offs.
- Assist service consultants in closing all open warranty repair orders.
- Review and manage all aging schedules and reports.
- Resubmit all rejected claims promptly or receives authorization to write them off; resolve all claim corrections and charge-backs.
- Follows up on payment of outstanding claims.
- Stay informed of all factory recalls and bulletins.
- Understand and comply with federal, state and local regulations that affect service operations, such as hazardous waste disposal and OSHA right-to-know.
- Communicate regularly with service advisor/dispatcher to confirm repair order information and diagnostic information.
- Meet customer service standards by achieving ‘above district’ customer service information “CSI” scores.
- Follow established safety protocols; report any shop equipment in improper working condition; immediately report safety incidents.
- Understand, keep informed of, and comply with federal, state and local regulations that affect service operations, such as hazardous waste disposal and OSHA right-to-know.
- Safeguard dealership assets and customer data.
- Maintain professional personal appearance.
- Complete required training assigned through the company training portal.
- Adhere to consistent and reliable work schedule.
- Demonstrate ethical business practices and integrity in all interactions to uphold the Mac Haik Automotive group brand.
- Other duties as assigned.
Qualifications
- Valid Driver’s Licenses and acceptable driving record
- Automotive warranty experience required
- High school diploma or equivalent required
- Successful completion of pre-employment screening
- Authorization to work in the USA
