Job Overview
We are seeking a highly organized and detail-oriented individual to join our team as a Powersports Warranty Administrator. As a Warranty Administrator, you will be responsible for managing and processing warranty claims for each one of our manufacturers. This is an important role that ensures customer satisfaction and maintains the integrity of our service facility.
Responsibilities:
- Create a system to collect, track, and submit warranty claims to each OEM and select aftermarket vendors
- Communicate with OEMs for pre-authorizations when warranty coverage is ambiguous Obtain pre-authorization on PPM and aftermarket warranty repairs
- Ensure technicians notes justify work performed
- Confirm required photos and images are uploaded to those repair orders in the DMS
- Collect warranty parts and tag for retention
- Track OEM warranty return requests and ship requested items within specified cutoff periods.
- Annual purge of retained parts that are no longer needed
- Track outstanding claims with OEMs and aftermarket warranty providers
- Work to maximize OEM/aftermarket payments for diagnostic work and other time spent troubleshooting
- Coach technicians on ways to improve warranty processes
- Manage open RO’s, (unit not present), to get customers scheduled
- Close out old age RO’s at agreed upon point
- Assist in opening and managing repair orders for factory recalls on unsold inventory
- Perform other duties as deemed relevant by management
Requirements
High school diploma or equivalent; additional education or certification in business administration or related field is a plus
Proven experience as a Warranty Administrator or in a similar administrative role
Strong attention to detail and ability to accurately process and document information
Excellent organizational skills with the ability to prioritize tasks and meet deadlines
Proficient computer skills, including experience with warranty management software or systems
Effective communication skills, both written and verbal, with the ability to interact professionally with customers and colleagues
Knowledge of warranty regulations, policies, and procedures is preferred but not required
