Our organization is seeking an Executive Administrative Assistant to provide high-level administrative support to our executive team. The successful candidate will be responsible for managing complex calendars, coordinating travel arrangements, preparing presentations and reports, and managing correspondence. This position requires excellent organizational skills, attention to detail, and the ability to prioritize tasks in a fast-paced environment. The ideal candidate will also possess strong communication and interpersonal skills.
Responsibilities:
- Provide high-level administrative support to executives and senior management.
- Manage and maintain executives' schedules, appointments, and travel arrangements.
- Coordinate and organize meetings, conferences, and events.
- Prepare meeting agendas, take minutes, and distribute meeting materials.
- Conduct research and compile data for reports and presentations.
- Handle confidential information with discretion and maintain strict confidentiality.
- Answer and screen phone calls, take messages, and respond to inquiries.
- Perform data entry and maintain accurate records.
- Manage email correspondence and prioritize incoming messages.
- Transcribe and type documents, letters, memos, and other materials.
- Assist with document preparation using Microsoft Office Suite (Word, Excel, PowerPoint).
- Provide excellent customer service to internal and external stakeholders.
- Utilize office equipment such as printers, scanners, copiers, etc.
- Assist with office management tasks as needed.
- Perform general clerical duties including filing, faxing, and photocopying.
Skills:
- Excellent phone etiquette and professional communication skills.
- Proficient in data entry and maintaining accurate records.
- Familiarity with Outlook Calendar for scheduling appointments and meetings.
- Ability to transcribe audio recordings accurately.
- Strong typing skills with a high level of accuracy.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
- Knowledge of customer service principles and practices.
- Experience using DocuSign or similar electronic signature software is a plus.
- Strong organizational skills with the ability to multitask effectively.
