Part-Time Temporary Administrative Coordinator, WNYC and Gothamist 
 
WNYC and Gothamist are a non-profit newsroom in New York that strives to cover events and issues that are deeply relevant to communities in and around the city. This role is an exciting opportunity for anyone interested in doing mission-driven work. It’s a position that supports local journalism that reaches several million people both ”on the air” and online, and the Temporary Administrative Coordinator will be able to support this work through day-to-day tasks that are essential to the smooth running of any news operation.  
 
The person in this role will pride themselves on setting a high bar for accuracy across many responsibilities, some of which may require proficiency in spreadsheets and numbers, while others will ask for strong writing ability. Either way, the role calls for attention to detail, multitasking and the ability to quickly learn processes that are essential to keeping the trains running. The right candidate will enjoy working independently, but will often be working in concert with others to provide resources and information to colleagues via Slack and email.  
 
Professionalism and kindness including a respect for diversity and equity are paramount. Do the words workflows and process mean anything to you? Being plugged into two or three workflow tools at once will ensure that the person in this role is fully engaged with colleagues, whether running a contract up the chain or making sure newsgathering services are paid for and active.

Responsibilities 
  • Draft contracts for freelance reporters and photographers and keep them informed throughout the process.  
  • Keep meticulous records of assignments, submit invoices and update freelancers on the status of their payments. Impeccable bookkeeping and interpersonal skills are needed.   
  • Process credit card reports so that essential newsgathering services are maintained.   
  • Maintain the newsroom’s supply of reporting tools such as notebooks and batteries.  
  • Reporters are responsible for renewing their City of New York press credentials. Assist and troubleshoot when necessary to ensure that all of our reporters who need press credentials receive one.  
  • Oversee onboarding of new hires including ordering equipment and organizing schedules of onboarding and training events.   
  • Maintain a schedule of staff anniversaries. 
  • Keep the journalism awards calendar up to date and pay for entries as needed.  
  • Organize newsroom celebrations, gifts, and food and drinks as needed, including on election nights. 
  • Make travel arrangements for conferences and out-of-town meetings. 
  • Renew news subscriptions. 
  • An excellent grasp of Slack, Google Sheets, Airtable, Outlook and Concur is needed in this role.  
 
Qualifications 
  • Experience working in spreadsheets. 
  • Aptitude for learning new software quickly. 
  • Experience maintaining confidentiality of sensitive information. 
  • Strong written and verbal communication. 
  • High degree of accuracy when it comes to writing correspondences and keeping records updated. 
  • Problem-solving and critical-thinking skills.  
  • Strong time-management and multitasking ability. 
  • Attention to detail. 
  • Resourcefulness 
  • Flexibility to changing priorities and timelines. 
  • Sensitivity and understanding.  
  • Ability to work independently as well as in a team environment. 

  

Additional Information 
This is a part-time (21 hours per week) temporary role that will run through June 28, 2024 with an hourly rate of $32.97. 
 
This role currently has a flexible schedule and will be mostly remote but will require some in-person work as needs arise. The candidate must live within a reasonable distance of NYC and be willing to commute to our offices in SoHo, New York.  
 
This position is covered by a collective bargaining agreement between New York Public Radio and SAG-AFTRA.
