Surgical Scheduling Coordinator
Women’s Health of Central Massachusetts is looking for a focused and detail-oriented Surgical Scheduling Coordinator to be responsible for administrative and clerical tasks related to scheduling patient surgeries, C-sections, and inductions of labor.
The Surgical Scheduling Coordinator will work in close cooperation with our providers as well as both internal & external clinical staff to ensure the timely scheduling of patient surgeries, M-F, 8:30am-5pm, 40 hours per week.
Surgical Scheduling Coordinator Responsibilities may include, but are not limited to:
- Receive & process requests for new or rescheduled surgical procedures;
- Ensure all surgical cases are scheduled in a timely manner, in accordance with the provider’s directions, & work closely to coordinate with the provider and/or clinical staff;
- Book patients’ surgeries with the hospital;
- Communicate all pertinent information to patients, both verbally & in writing, regarding their surgery date and time, including pre-operative instructions;
- Answer patients’ questions beforehand and notify clinical staff and/or providers of any concerns that need to be addressed;
- Ensure all required documentation is provided to patients prior to surgery, in accordance with established procedures & guidelines;
- Obtain prior authorizations when needed;
- Discuss & review any billing concerns and work closely with billing department & insurance companies to resolve any issues;
- Efficiently & effectively manage incoming and outgoing phone calls, emails, and calendars;
- Act as communication link & liaison between the patient, provider, and the hospital;
- Freeze internal provider schedules according to o.r. times booked; notify appropriate in-house staff (scheduling department, providers, managers, receptionists) by providing a list of patients affected by any changes to provider schedules;
- Utilize, maintain, & update the Surgical Scheduling Log.
To be a successful Surgical Scheduling Coordinator at WHCMA, you should meet the following requirements:
- A high school diploma or equivalent.
- A minimum of 2 years’ clerical or administrative experience in a medical office.
- Able to read, write, and communicate effectively orally and in writing.
- Excellent typing skills & computer proficiency.
- Strong communication & customer service skills.
- Strong organizational and multitasking skills.
- Able to prioritize tasks & meet the demands of a fast-paced office.
- Meticulous attention to detail.
- Able to work independently throughout the day and without supervision.
- Able to take ownership of responsibilities and troubleshoot issues appropriately.
- Must be familiar with medical terminology, electronic medical records, and have prior scheduling experience.
- Must be a team player & able to maintain an effective & pleasant working relationship with medical staff, co-workers, and patients, treating all with dignity, professionalism, and respect.
Job Type: Full-time
Pay: $20.00 - $24.00 per hour
