Form of workThe Scheduling Coordinator is responsible for coordinating the Behavioral Health providers schedules which includes: NP/APRN schedule, BH clinician schedule, BH CHW schedule, MAT RN schedule, MAT medical assistant schedule, PCP appointments for MAT clients, device schedule, and the patient's schedule. Completes MAT intakes for new MAT patients. They are a liaison between the patients, providers, staff, and the community-at-large.

Previous experience with medical scheduling. Detail-oriented; able to work accurately and efficiently in a fast paced environment. Bilingual, capable, sensitive, and articulate in conversational interpretation. Must possess the ability of positively interacting with patients, personnel, visitors and the general public. Must show discretion in the handling of confidential information. Must possess the ability to work independently, problem solve and make decisions when necessary. Ability to maintain composure and professionalism when exposed to stressful situations Strong organizational skills Computer literate in basic applications and data entry. Friendly, reliable, and professional both in behavior and appearance. Ability to establish and maintain effective working relationships with other employees, individuals seeking assistance and the general public. Experience with Behavioral Health or substance abuse community is a plusPrinciple Responsibilities and Duties: Schedules patient Behavioral Health visits per established procedures. Confirms appointments, cancels appointments and notifies staff of appointment changes. Reviews schedules routinely to ensure proper slot utilization and increase opportunities for patient access. Discusses scheduling conflicts or problems with supervisors and offers solutions to improve. Continuously monitors schedule and provides updates throughout the day. Generates and utilizes wait lists and reschedules patient appointments as needed. Manages appointment workqueue requests to ensure continuity of care. Provides direct support to the practice manager and handles scheduling requests Responsible for the accuracy and completeness of the data entry of patient information into the computer.
This data entry includes various patient information, as well as relevant insurance. Efficiently intakes new patients; completes patient data entry, schedules new patient appointments, verifies insurance, collects required signatures, obtains ROI to collect historic patient records, provides warm handoffs to support teams. Assists MAT RN and MAT medical assistant with the intake paperwork as required by the OBAT grant Maintains current knowledge of the time requirements of various categories of patient visits, preferences and work schedules of various providers. Ability to schedule appointments in appropriate appointment types. Make patient reminder calls in a timely fashion. Maintains confidentiality of all Health Center information. Handle inquiries (regarding hours, location, programs, patient eligibility, etc.) in a professional manner. Refer acutely ill patients to nursing for triage. Prepare reports as required. Carry out other tasks as requested in situations where participation may be required. Maintain work area in a clean, organized and orderly fashion to facilitate interactions with other staff and to reflect well on the health center as viewed by the public.Physical Requirements:Prolonged periods of sitting at a desk and writing on a computer.Working Conditions: This position may require the ability to work long and arduous hours. This position also requires the ability to use a computer, work at a computer workstation, viewing a CRT and have some knowledge of a keyboard. Requires rotation with other front office personnel with little or no notice and can be between facilities.* In addition, you will be required to cover later clinic hours including weekends between any Caring Health Center locations.JOB CODE: 1000141
