Summary Description:
LOCATION: Onsite with potential for hybrid
SCHEDULE: Monday-Friday with flexible start (730a, 8a, or 830a)
The Ambulatory Scheduling and Clerkship Coordinator at UMass Chan Medical School-Baystate is responsible for overseeing and maintaining Baystate Track medical students ambulatory block schedules during their 3rd year clerkships as well as being the Clerkship Coordinator for the 4-week neurology and 1-week radiology clerkships. This role ensures a smooth and enriching experience for medical students during their clinical rotations. This role involves collaborating with faculty, staff, and students to oversee scheduling, evaluation, and administrative tasks.
Job Requirements:
1) Ambulatory Scheduling:
• Create, maintain and revise ambulatory schedules for the VISTA third year medical student curriculum
• Ensure academic schedule is accurately represented in relevant university systems.
• Proactively audit academic schedule to identify inconsistencies and/or conflicts and develop solutions.
• Serve as the primary contact for university scheduling, answering questions and providing appropriate solutions with discernment and a high level of customer service
2) Neurology and Radiology Clerkship Coordinator:
• Develop and maintain a comprehensive clerkship schedule for medical students.
• Coordinate with affiliated healthcare institutions to secure clinical rotation placements.
• Ensure equitable distribution of clerkship assignments among students.
• Oversee Educational Schedules for students in conjunction with Regional Campus Clerkship Director
• Oversee clerkship communications to students
• Monitor the collection of Oasis evaluations for students
3) Student Support:
• Provide orientation communications and support to medical students entering clerkship rotations.
• Address student inquiries, concerns, and needs throughout their clerkship experiences.
• Assist in resolving scheduling conflicts and accommodation requests.
4) Faculty Collaboration:
• Collaborate with the Regional Campus Clerkship Director and clinical faculty to facilitate clerkship experiences.
5) Evaluation and Assessment:
• Monitor the collection of Oasis evaluations for students
• Proctor NBME exams.
6) Quality Assurance:
• Develop and implement quality assurance protocols to enhance the clerkship program's effectiveness
7) Other duties as assigned.
Minimally Required Expereince:
1-2 Years of administrative work
Skills/Competencies:
The successful candidate will be passionate about education and collaborating with a dynamic group of faculty, staff, and students. Must have a high degree of initiative and independent judgment: critical thinking skills and judgment in problem-solving and decision-making, or escalating issues as needed. Must possess the ability to work as part of a team and collaborate with internal and external stakeholders.
• Previous experience in medical education or healthcare administration.
• Strong organizational, communication, and interpersonal skills.
• Attention to detail and ability to handle multiple tasks simultaneously.
• Proficiency in Microsoft Office and scheduling software.
