Job description

Position Summary:

Responsible for answering in-bound telephone call requests for appointments and scheduling patient appointments for MOHS procedures in an efficient and timely manner.


Essential Functions

  • Books, coordinates and reschedules patients appointments. Relays necessary messages to staff
  • Greets and registers patients in a prompt, pleasant, and helpful manner.
  • Maintains and updates current information on physician's schedules ensuring that patients are scheduled properly and appointments are confirmed.
  • Answers telephone, screens calls, takes messages, and provides information. Answers questions regarding patient appointments and testing.
  • Adheres to California Skin Guidelines for appointment types, length and frequency. Schedules appointments per physician session in accordance with company policy for frequency and time between appointments.
  • Enters patient demographic and insurance information in EClinicalWorks or Prime Clinical practice management system
  • Advises patient of relevant financial policies, including co-pay requirements, patient balance payments due, or pre-payment required for elective services.
  • Advises patients of GSD no-show policy and financial ramifications. Collects credit-card pre-payments when required for patients with previous no-shows or last-minute- cancellations.
  • Follows GSD guidelines to offer alternate providers dependent upon patient response to wait time or available appointments
  • Regularly reviews the schedule for open appointment slots during next 24 hours; identifies and calls future patient appointments and offers open slots.
  • Advises office manager of scheduling challenges or requests to violate GSD scheduling policy
  • Appointment Reminder Calls as assigned by manager or administrator

  • Promotes Golden State Dermatology in an effort to enhance patient comfort and further organization reputation of excellence in the patient, medical, and associated business communities

Requirements

Knowledge, expertise:

  • Medical/clinical experience required (2+ years)
  • Surgical scheduling preferred, not required
  • Some dermatology/MOHs experience preferred, not required
  • Expert user in EClinicalWorks or Prime Clinical modules for registration and scheduling.
  • Use of a professional computer and mouse
  • Telephone operations; excellent telephone customer service skills.
  • The ability to speak clearly and to be understood by others via telephone.
  • Basic knowledge of dermatology and aesthetic services sufficient to assess type and length of appointment needed.
  • Knowledge of GSD financial policies relevant to scheduling e.g. when pre-payments will be required.
  • Grammar, spelling, punctuation. The ability to enter notes in the EClinicalWorks or Prime Clinical system. The ability to send emails.


Certifications, training, licensure:

  • High School Graduate or equivalent


Safety Requirements:

  • Universal precautions


Physical Requirements:

  • Sitting up to eight (8) hours per day
  • Frequent sitting and standing from a sitting position. Use of keyboard and/or computer mouse up to 8-hours per day.
  • Ability to use a telephone, including either a handset or a telephone headset.


Decision Making Authority:

  • Selecting and assigning patient appointment slots.
  • Double-booking physicians when necessary based upon the needs of the patient or the organization
