Responsibilities:Provide comprehensive administrative support to executive staff members, including managing calendars, scheduling appointments, and coordinating meetings.
- Screen and prioritize incoming calls, emails, and other correspondence, ensuring timely and efficient responses.
- Organize and maintain both physical and digital files, ensuring accurate record-keeping and easy retrieval of information.
- Make travel arrangements, including booking flights, accommodations, and ground transportation, while considering budget and preferences.
- Manage personal expenses, reimbursements, and invoices, ensuring accuracy and timely processing.
- Conduct research, compile data, and prepare reports as requested.
- Handle business-related errands, such as mail, business purchases, and other ad-hoc requests.
- Maintain a high level of confidentiality and discretion in handling sensitive information and matters.
- Act as a liaison between the assigned individual and other team members, clients, vendors, and external stakeholders.
Requirements:
- Proven experience as a Personal Assistant or similar role, preferably in a fast-paced environment.
- Strong organizational and time management skills, with the ability to prioritize and meet deadlines effectively.
- Excellent communication skills, both verbal and written, with a professional and friendly demeanor.
- Proficient in using productivity tools such as Microsoft Office Suite, Google Drive, email clients, and scheduling software.
- High level of discretion, integrity, and confidentiality.
- Exceptional attention to detail and problem-solving abilities.
- Ability to adapt to changing priorities and work independently with minimal supervision.
- A flexible and proactive approach, with a willingness to take on additional responsibilities as needed.
- Savvy in data technology and Knowledgeable in real estate preferred however is not required.
