Job description

The Broward County Board of County Commissioners is seeking qualified candidates for Office Support Specialist.

Minimum Education and Experience Requirements
Requires six (6) months of clerical or closely related experience.

General Description

The Office Support Specialist in the Port Everglades Operations Division Harbormaster section performs specialized Office Support work involving the use of a computer, software applications, and other office equipment. This position works under close general supervision according to set procedures but determines how or when to complete tasks.
Minimum Education and Experience Requirements
Requires six (6) months of clerical or closely related experience.
Special Certifications and Licenses Required
Ability to secure and maintain a valid Florida Driver's License at the time of appointment and for the duration of employment.
Ability to secure and maintain a Transportation Worker Identification card (TWIC) within 60 days of employment and for the duration of employment.
Ability to secure and maintain a valid Seaport Business Purpose Credential for the duration of employment.
Preferences
Associate degree in business administration or a related field
Bachelor's degree in business administration or a related field
2+ years' experience using Microsoft Office Suite
2+ years' experience creating and maintaining manual and electronic records, creating and maintaining spreadsheets/databases, and reviewing supplementary payroll information-hours worked, time off, overtime worked, leave requested/taken, etc.
2+ years of PeopleSoft or similar software purchasing-related experience
1+ years of data entry experience
1+ years' experience working with KRONOS or other similar payroll system
The functions listed below are those that represent the majority of the time spent working in this class. Management may assign additional functions related to the type of work of the job as necessary.
Reviewing time cards, leave requests, and related documents for supervisors' approval to ensure employees are paid correctly and leave balances are accurate.

Preparing various correspondence, notifications, forms, meeting minutes, and related documents to communicate information to staff and/or the public; processes requests for agency materials/information received by phone, fax, email, or in-person to provide patrons with requested materials/information.

Filing various correspondence, documents, requests received, and other forms and materials to document activities and comply with agency and state records management, as well as agency operating policies and procedures.

Preparing purchase requisitions

Maintaining adequate supplies, materials, and equipment to ensure the availability of items needed for efficient operations.

Using the Harbormaster Vessel Scheduling software to assist staff and/or the general public and to create reports.

Assisting HR and Risk Management with employee concerns related to FMLA, Workers' Compensation Claims, and other matters.

Creating and maintain a variety of manual and/or electronic files to facilitate case or work management and tracking and facilitate storage and retrieval of information.

Delivering, retrieving, and sorting mail to determine which mail processor to use and/or direct it to the appropriate division/person.

Assisting in disseminating information regarding vessel movement to agents and the general public.

Maintaining Cruise Schedule Master File using applicable software programs on a personal computer.

Ability to establish and maintain effective working relationships with the general public, co-workers, elected and appointed officials, and members of diverse cultural and linguistic backgrounds regardless of race, religion, age, sex, disability, political affiliation, or sexual orientation.

Physical Demands

Physical demands refer to the requirements for physical exertion and coordination of limb and body movement.

Performs light work that involves walking or standing most of the time and involves exerting up to 20 pounds of force on a regular and recurring basis, or skill, adeptness and speed in the use of fingers, hands or limbs on repetitive operation of electronic office equipment within moderate tolerances or limits of accuracy.
