Role Description
Experience Level: Low-Mid Level Entry; Executive Assistant
We are seeking a dynamic and detail-oriented Administrative Operations and Office Management Specialist to oversee the administrative functions of our photography studio and photo booth business. As the backbone of our operations, you will be responsible for ensuring the seamless coordination and efficiency of various administrative tasks associated with our photo booth services and office upkeep.
Key Responsibilities:
1. Client Communication:
- Engage with clients to coordinate event details, answer inquiries promptly, and ensure a positive customer experience.
2. Scheduling and Logistics:
- Manage the scheduling of photography studio appointments & photo booth services for events, ensuring timely setup, operation, and breakdown.
3. Vendor Coordination:
- Liaise with vendors for equipment maintenance, repairs, and sourcing of supplies to ensure effective photo booth equipment upgrade and upkeep.
4. Inventory Management:
- Maintain an organized inventory of studio furniture, photo booth props, backdrops, and equipment, replenishing and organizing as needed.
5. Documentation and Contracts:
- Create and manage contracts, invoices, and other documentation related to photo booth services.
6. Quality Control:
- Conduct regular checks to ensure the quality and functionality of photo booth equipment and props.
7. Research:
- Conduct research of various aspects of the companies existing offerings as well as additional growth opportunities.
8. Staff Coordination:
- Coordinate photo booth staff schedules for events and create necessary training manuals.
Qualifications:
- Previous experience in event coordination, executive assisting, office management or a related field.
- Exceptional organizational and communication skills.
- Ability to thrive in a fast-paced, dynamic environment.
- Proficiency in office software and project management tools.
Work Schedule:
The start date is January 15, 2024.
Part-time/Full-Time: 20 hours per week
Workplace: Hybrid Arrangement Possible, but mostly in-office.
Compensation: Negotiable
