The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

This role reports to the Senior Business Manager and is responsible for onboarding all student and non-student casual employees within the Department of Computer Science at the Fu Foundation School of Engineering and Applied Science (SEAS). The position involves consulting with key stakeholders to verify eligibility and funding for student appointments and coordinating the entire student hiring process. Additionally, the incumbent works directly with students to gather necessary forms, documents, and clearances, ensuring compliance with university policies and practices for student research participation.

Responsibilities

  • (40%) Coordination of Student Hiring Processes:

    • Directly coordinate with students to obtain necessary clearances (i9, etc.), forms (Docu-sign), and documents for initial and successive hires.

    • Collaborate with the Senior Business Manager, DFA, and Deans Office to manage eligibility and consult with PIs to ensure proper student categorization.

    • Process all hiring transactions for this population, including external department requests for terminations or rehires, and manage the sending of PAFs and uploading documents into the University PAC system.

    • Work closely with the SEAS Human Resources team to secure Dean's office approvals for casual instructional and research hires.

    • Oversee the payroll unit/departmental ticketing system for troubleshooting problems and manage the student course assignment system via MICE (departmental database).

    • Update online hiring trackers and perform weekly reconciliations each semester to ensure timely hires.

    • Support the team during busy seasons to ensure all hires, including student officers, are submitted on time.

    • Manage biweekly student timesheet submissions via PAC TLAM and process paper timesheets for late submissions.

    • Analyze and research payroll-related issues and assist in implementing corrective solutions.

    • Participate in creating.

  • (30%) Administration of Student Payroll and Funding:

    • Process salary distributions and cost transfers in PAC as directed by managers and/or the Grants team for casual employees.

    • Administer overpayment recoveries in ServiceNow for casual students.

    • Perform departmental reconciliation and validation of payroll throughout the semester using ARC reports to ensure accuracy of charges and funding sources.

    • Assist the manager in clearing suspense accounts and reconciling funding throughout the semester with ARC reports to ensure accuracy and avoid suspense.

  • (15%) Student academic operations:

    • Provides support to student employment new hire initiatives and policies, assists with the student employment processes, and tool guides student appointments. Assist in new hire student events such as welcome day, orientation, etc.

  • (10%) Back-up support/coverage:

  • Provide coverage for colleagues during peak seasons or vacations, including onboarding/appointing student officers, i9 verification, collecting documentation, and processing appointment transactions in PAC.

  • (5 %) Performs other tasks, duties, and responsibilities as assigned.

Minimum Qualifications

  • Bachelor's degree or its equivalent. Minimum of 1 year of related experience in human resources, payroll, or academic administration, preferably in a higher education setting.

  • Experience with human resources information systems (HRIS) and payroll systems; familiarity with PAC, ARC, DocuSign, and ServiceNow is a plus.

  • Understanding of university policies and procedures related to student hiring and payroll.

  • Knowledge of employment eligibility verification processes (i.e., I-9 requirements)

  • With a preference for training in higher education management.

  • Ability to work independently and as part of a team.

  • High level of professionalism and discretion.

  • Commitment to providing excellent customer service.

  • Ability to work independently and ability to multitask. Experience in working with a wide range of constituencies.

  • Ability to manage multiple projects. Experience organizing large events and the ability to work extended hours to
    oversee community-building activities and events.

  • Exceptional problem-solving, interpersonal, organizational, and written- and verbal-communication and computer skills required. Must be detail-oriented. Must have strong proficiency with MS Office, including Word and Excel.

  • Ability to exercise independent judgment. Positive, forward-thinking, mission-oriented attitude and sense of humor is a must.

  • Familiarity with database programs akin to SIS, desktop reports preferred. Related experience in a higher
    educational setting is preferred. Experience in a high-paced environment is preferred.
