Come join the Department of Transportation (Caltrans) District 5 Environmental Personnel Services Team in San Luis Obispo! Under the supervision of a Senior Environmental Scientist, the Student Assistant, in a training capacity, will assist in a wide range of services relating to the Environmental Support Services Unit.
Conditions of Employment
This is a part-time, temporary, non-benefited, student position. Employment in all positions with University Enterprises, Inc. is dependent upon the mutual consent of University Enterprises, Inc. and the employee. This means that either University Enterprises, Inc. or the employee can, at any time, terminate the employment relationship at will, with or without cause.

Prerequisites
Must be a college student attending classes during the regular term (Fall, Spring and Winter, if applicable), at one of the accredited colleges or universities on our affiliation list.

Students must be enrolled in at least six-semester units or nine quarter units for undergraduate students; four-semester units or six quarter units for graduate students.

F lexible workdays and work hours, Monday – Friday, between 8 AM – 5 PM. The final work schedule will be determined by the supervisor.

Additional Work Schedule
Student Assistant and Graduate Assistant employees generally work up to 24 hours per workweek (Sunday – Saturday) during the academic year and up to 40 hours per workweek during breaks; (winter, spring, summer).
M inimum Qualifications
- Must maintain a minimum cumulative 2.0 GPA.
- Must complete each term with minimum unit requirements for Undergraduate and Graduate student classifications. Proof will be collected at the end of each Spring and Fall term.

- Be able work cooperatively others. Be courteous and respectful to internal and external staff and with general public.
Preferred Qualifications
Duties and Responsibilities
- Assist in ensuring staff compliance for mandatory training by providing staff an update of their training history showing which courses they are due for, or will be in the near future, provide detailed instructions on how to properly enroll and earn credit for completion.
- Disseminate mandatory course announcements and provide compliance status to employee supervisors.
- Assist with aspects of the hiring/employment process, such as updating hiring documents for advertisement, email recruitment opportunities to Environmental staff, prepare materials for the facilitation of interviews and track the hire status.
- Assist with a variety of office machines.
- Monitor printers and copiers, change toner cartridges, report printer operation problems, copier, and supply room re-stocking.
- Assist in the distribution, tracking and filing of various standard employee forms.
- Assist coordinating vehicle service and maintenance, car fob requests and vehicle reservation support.
- Assist with mailroom correspondences and hard copy and/ or scanned mail dissemination on a weekly basis.
- Assist in aspects of property control such as tracking equipment assigned to the D5 Environmental Division and maintaining records relating to equipment such as cell phones, digital cameras, biological field aids and computers.
- Assist in supply inventory and tracking inventory using the Teams spreadsheet.
- Assist with arrangements for phone line, equipment and cubicle for new employees and existing employees as needed.
- Assist staff with check-out equipment and monitor that equipment to make sure it is returned in the same condition in which it was checked out.
- Assist in creating and updating emergency phone lists, unit lists for mailroom, distribute mail and assist in the distribution of payroll and travel reimbursement checks.
- Assist in electronic filing and document archiving by scanning hard copies, correctly labeling and storing in appropriate electronic files.
- Assist with preparing for public meetings or open houses, including mailings to the public and agencies.
- Create and maintain database for contacts, addresses and distribution lists.
Assist with other duties as directed. May assist with special projects and/or other duties as assigned.
Physical Requirements
Sit for extended periods; frequently stand and walk; manual dexterity and hand-eye coordination; corrected hearing and vision to normal range; verbal communication; use of office equipment including computer workstations, telephones, calculators, copiers, printers and scanners with or without a reasonable accommodation.
