The Department: The Specialist, Talent Acquisition is a part of the Human Resources + Talent Management department. IM’s HR+TM department provides service in support of IM's vision by promoting the concept that our employees are our most valuable resource and will be treated as such. The HR + TM department will act as a catalyst to enable all IM team members to contribute at optimum levels toward the success of the business and IM overall, while championing individual employee well-being.
Position Summary
As a critical component of IM’s blueprint for hiring, training, and retaining top talent, the Specialist, Talent Acquisition will aid and facilitate departmental support by assisting with tasks throughout all areas of the HR + TM continuum.
The Specialist, Talent Acquisition’s responsibilities include developing and implementing Talent Acquisition strategies, leading employment branding initiatives, sourcing candidates for open positions, conducting recruitment processes, ensuring positive candidate experiences, and assisting in employee retention and development. They also supervise HR + TM contractors, participate in career fairs and events, and use metrics to analyze recruitment data and identify areas for improvement.

Travel Notice: IM aims to provide employees with a minimum of two weeks' notice before requiring them to travel for the company. However, due to the specific demands of certain roles within IM, there may be instances where travel becomes necessary without the ability to provide the full two weeks' notice.
Essential Functions/Key Responsibilities
Recruitment and Selection
- Provide full-cycle recruitment support to hiring managers and their teams. This includes, but is not limited to:
- Coordinate and conduct job intake calls with hiring managers
- Determine job posting and application details
- Help define candidate selection strategies
- Screen applicants to identify qualified candidates
- Conduct HR phone screens with qualified candidates; take detailed notes to share with the hiring managers and selection teams
- Advise hiring managers on interviewing and evaluation methods ensuring compliance with IM’s internal policies and labor requirements.
- Maintain accurate tracking of applicant progress in the ATS
- Support timely applicant communications through the ATS
- Selection assistance
- Manage and update ATS materials, forms, job posts, and candidate information ensuring materials, job postings, user profiles are well-maintained and up to date.
- Support with annual job description audits and ensure all job descriptions are streamlined and consistent in format, appropriate titles, and approvals recorded and maintained.
- Conduct monthly recruitment analysis and maintain assigned metrics.
- Maintain meeting notes for recruitment and selection-related business, as needed; capturing outcomes, next steps, and other pertinent information.
Applicant Sourcing
- Execute recruitment campaigns for hard-to-fill positions.
- Build and manage a candidate pipeline and work with HR colleagues and across the organization to ensure that workforce planning is optimized, supported and in line with our DEIB strategy through the provision of expert advice based on an understanding of both HR policies and DEIB policies.
- Support hiring managers by providing a diverse perspective throughout the recruitment process, which includes advising on job descriptions to ensure they are inclusive and capture role requirements and the use of inclusive language for advertising; also as appropriate, arranging diverse panels for shortlisting and interviews and coordinating communication with candidates.
- Leverage technology for excellent candidate relationship management to discover and sustain cold/warm leads, hot leads, referrals, and other potential prospects. Use Social Media as a sourcing and branding tool.
- Determine optimal and diverse job advertising mix, including job boards, careers pages and social networks, taking measures to ensure that candidate pools are reflective of the make-up of the students and families we serve.
Onboarding
- Execute employee onboarding tasks and new hire communications with special attention to detail.
- Support employee onboarding; coordinate with other departments for additional related tasks.
- Complete Forms I-9, verify I-9 documentation, and maintain I-9 records.
DEIB Support
- Provide administrative support for DEIB, workforce culture, and engagement initiatives, including: IM Ambassadors, ERGs, Affinity Spaces, Employee Stewardship Council and RISE groups.
- Develop and contribute to DEIB initiatives and programming.
- Maintain meeting notes for all DEIB-related business, as needed; capturing outcomes, next steps, and other pertinent information.
Administrative Support
- Provide administrative support as requested by the Director, Human Resources and Director, Talent Management, prioritizing tasks for efficiency and effectiveness.
- Coordinate and initiate employee engagement and culture building initiatives that includes: new hire gifts, employee gifts, and other acknowledgements that support employees during times of celebration or challenge.
- Identify and recommend actions or areas of opportunity to improve existing processes.
- Meet deadlines and deliverables as assigned.
- Consolidate team notes and assign action steps to team members in project management software.
Required Qualifications:
- A minimum of four (4) years of proven experience as a Human Resources Coordinator, Senior Administrative Assistant, or other relevant Human Resources/Operations-focused positions
- Knowledge of Applicant Tracking Systems: JazzHR, ApplicantPro, iCIMS, Workday, or other ATS software
- Demonstrated commitment to seeking and listening to feedback that encourages growth, surfaces blindspots, and recognizes and disrupts patterns of inequity
- Knowledge of Human Resources and best practices
- Ability to handle sensitive and personal data with confidentiality and discretion
- Exemplary organizational and time management skills
- Experience working in a team-oriented, relationship-building, collaborative environment
- Ability to work independently and follow through on assignments with minimal direction and supervision
- Excellent written and verbal communication skills; ability to deliver clear, concise information tailored to specific and varied audiences
- Must reside in and be legally authorized to work in the USA
Preferred Qualifications
- Familiarity with human resources information systems (TriNet/Zenefits preferred)
- Strong computer skills with cloud-based systems, especially Google Workspace applications, Zoom, and Slack
- Familiarity with project management applications; experience with Asana is preferred
Compensation & Benefits
In alignment with our commitment to equity in practice and policy, Illustrative Mathematics is committed to equity and transparency for our team and offers competitive salaries commensurate with experience and education. This position is exempt. The salary range for this position is $70,000 - $90,000 annually.
