Job description

The Position

Reporting to the President and Chief Executive Officer, the Senior Vice President, Administration is a key member of Team PA's Executive team and serves as a trusted advisor and partner to the President and CEO, setting and driving organizational vision, operational strategy, and hiring needs. The Senior Vice President, Administration is charged with leading, managing, and overseeing the overall business performance and functions of the organization. This role is responsible for change management and organizational performance; financial management and oversight; human resources, people and culture, and diversity, equity, inclusion, access, belonging; legal/compliance, contracts, and procurement; and information systems and technology. 

The salary range for this position is $125,000 to $160,000.

The following focus areas will be key for this role in the coming year:

Lead the organization through organizational and people management, implementing seamless operations, and stewarding effective planning.

  • Prepare, equip, and support employees to adopt change to drive organizational success, including implementing stronger project management, enhanced internal collaboration, and appropriate time management 
  • Manage strategic planning and implementation effort
  • Develop, adapt, implement, and oversee processes and procedures to ensure that Team PA continues to operate at the highest standards across human, financial, legal/compliance, and programmatic operations
  • Assist in establishing and tracking progress towards organization-wide goals 
  • Manage internal organizational policies including oversight of the Organizational Handbook
  • Oversee information systems and technology in partnership with the Director of Information Systems to ensure that systems and technology are secure and support organizational and employee needs
  • Manage and oversee insurance portfolio
  • Consult, as necessary, with outside counsel
  • Serve as the primary point of contact for contracts and contract negotiations
  • Oversee the maintenance and updating of all internal policies and procedures, and ensure they are reviewed and updated annually 

Ensure a positive employee experience by executing on Human Resources initiatives.

  • Lead and oversee full employee life cycle, including recruitment, hiring, retention, promotion, and termination
  • Oversee Diversity, Equity, Inclusion, Access, and Belonging efforts across the organization
  • Collaborate with CEO and other relevant staff on organizational culture initiatives; drive organizational culture improvement
  • Oversee payroll processing and related payroll functions
  • Oversee benefits and benefits administration
  • Manage compensation strategy and annual compensation benchmarking
  • Manage and drive improvement of HR and organizational policies and practices
  • Lead and support annual goal setting and evaluation process
  • Manage employee relations and staff performance issues as necessary
  • Oversee and support efforts regarding employee morale and foster a positive workplace culture through celebrations, in-person gatherings, retreats, staff meetings, and other means
  • Oversee employee performance and satisfaction tools and programs including but not limited to evaluations, goal setting and professional development

Support and partner with the Finance team to deliver on financial transparency and accurate reporting.

*this focus area is accomplished in partnership with the CFO (part-time contractor)

  • Supervise and ensure quality and accuracy of all accounting functions, including budgeting, forecasts, and audits
  • Ensure accuracy and timely delivery of financial reports to staff, Board, and other key stakeholders
  • Lead financial strategy and related business initiatives, including financial models and planning for program expansion and organizational growth
  • Build, develop, and strengthen strategic investment strategies in partnership with staff and board leadership
  • Oversee and ensure appropriate internal controls and policies

Other responsibilities

Primary Staff Lead for the following committees of the Board of Directors: 

  • Personnel Committee
  • In coordination with CFO, Finance & Investment Committee 
  • In coordination with CFO, Audit Committee 

Supervisory responsibilities for the following current employees and contractors:

  • Finance Director
  • Director of Information Systems
  • Operations Assistant 
  • Executive Assistant

Work in partnership with the following employees and contractors managed by President and CEO Abby Smith:

  • Chief Financial Officer

Qualifications
  • At least ten years of experience with HR and/or administrative services and/or operations and/or change management (Required)
  • Possess a proven ability to work collaboratively as part of a team and an interest in building a strong organizational culture 
  • A strategic mindset and ability to connect programs to organizational goals and outcomes 
  • Display excellent and versatile oral and written communications skills including the ability to summarize detailed information to senior level audiences, and to adapt to meet the needs of the CEO
  • Demonstrated commitment to the principles of equity, diversity, inclusion, access, and belonging with experience in implementing these principles 
  • Effective team leadership while balancing competing priorities
  • Demonstrated accomplishments in a senior management role, with a proven track record in building and managing effective teams 
  • Demonstrated ability to mentor and coach senior staff members and coordinate between multiple programmatic areas  
  • Ability to exercise sound judgment, make timely decisions and advise staff on multiple projects, priorities and deadlines while providing timely, comprehensive feedback 
  • Demonstrate respect and professionalism clearly and consistently with all people

  • We've begun making an impact: The outputs of our work are slowly but surely leading to outcomes, particularly in energy, agriculture, and manufacturing. With every report, op-ed, and event, we're taking an action-oriented approach to long-term systems change work with our eye on the horizon. 
  • We've grown our organization: Since 2022, we're doubled the size of our staff and our operating budget, as well as adopted a new brand identity to match this action-oriented, external-facing new way of working.
