We aim to be the primary service provider for the people and entities responsible for the care, movement, and long-term preservation of art and culture. To that end, our Senior Administrative Associate is responsible for assisting the Project/Program Administrator with daily tasks, such as invoicing, coordinating deliveries/transports to and from project locations, troubleshooting, monitoring purchases, and tracking hours.

Pay: $28.00-$30.00/hr
Schedule: Available between 6 AM to 4 PM, 40 hours per week
Location: Remote
RESPONSIBILITIES:
AIMS entry such as: Internal tasks and Waybills, creating new projects for each phase each month
Tracking project numbers for crew reference,
Assist w/ EOM Invoicing: coordinating with customers for final SOV’s as well as working w/ CSC to get pencil SOV for invoice prep
Tracking all other vendors used to ensure costs are accurate and invoicing is submitted on time for EOM billing
Full Cycle Processing of United Rentals equipment - Booking Rentals, Tracking Invoices, Processing Payment. Additionally, monitoring of the rentals and initiating new rentals
Maintaining contracts and bookings with vendors. Examples include, set up Waste Management agreement and maintain account; set up Porta Potty contracts, if needed; and handle bookings of any other 3rd party services as needed.
Assisting vendors with scheduling, billing, troubleshooting, and emergency contact
Managing field calls for delayed trucks, changes to schedule, weather adjustments, emergency needs
Third Party Trucks: Book trucks based on 3 week look ahead (minimum 2 weeks out), obtain estimates for upcoming moves, load details and equipment needs. Additionally, coordinate w/ rep and NASM admin on load details, dates, site contacts, permits that may be needed. Schedule with loading dock, west terrace, and freight elevator
Must obtain confirm booking, loads, and weather backups 1 to 2 days prior to move and follow up with 3rd party for final cost and invoice, post move
CFA Trucks: Book trucks based on 3 weeks look ahead, coordinate w/ drivers/department heads/NASM admin team on load details, dates, site contacts. Also, schedule with loading dock, west terrace, and freight elevator for NASM
Monitoring Purchase request sheets for new purchases and approvals
Create POs and procuring items
New vendor set up
Coordinating with warehouse and crew to receive items
Planning materials trucks to get equipment and materials on site
Track Crew Labor Hours in LAW/Kronos, record hours in Quarterly timesheets
QUALIFICATION:
Bachelor’s Degree, required
2 to 3 years of administrative experience
Previous experience in Art Handling, Collection Management, or Art Transportation is preferred
Experience invoicing, payment processing, schedule management, and customer coordination is a must.
Understanding of industry standards and familiarity with the proper terminology behind art handling Familiarity with collection databases, such as TMS
Attention to detail
Willing to work in a fast paced and ever evolving project environment
Reasonably expected salary range: $58,300.00 - $72,900.00
