Job Description
Contemporaries is a government contracting firm looking to add a Senior Administrative Assistant to the National Institutes of Health on a contract basis. This is a long-term contract with the expectation of extension. This is a hybrid position with both office and remote work. Fitting candidates should have previous experience working for the National Institutes of Health or a related government organization, experience supporting high ranking executives with a plethora of administrative tasks, strong computer skills especially using SharePoint and other MS Office software, strong organizational and communication skills, and the ability to multi-task. Candidates should have a college degree and 4 years of executive/senior support experience, or a high school diploma and over 6 years of executive/support experience working in the government.
Duties:
- Data entry/database management - entering document data, searching for documents in system, printing and packaging materials ensuring proper presentation for leadership review.
- Creating and using tracking and status reports in various programs (Excel, SharePoint, etc.)
- Writing/editing - providing writing, tracking, researching, proofreading, and other program assistance to leadership team.
- Recording Minutes/managing meeting materials - printing, delivering, receiving and distributing meeting materials and correspondence folders to and from the office.
- Manage Director's incoming mail: sorting, scanning, and entering data in the official Director's document and records management system.
- Managing phones - answering incoming calls from a variety of callers on the main Exec Sec telephone line professionally and diplomatically, using judgement on how best to respond based on guidance in Exec Sec standard operating procedures.
- Scheduling use of Autopen, using it, and demonstrating how to use it ensuring the security of autopen and signature cards.
- Vetting the NIH Director's incoming invitations with senior leaders throughout NIH and preparing them in hard copy for ES leadership review and the NIH Director's pending and accepted/regretted invitations for dissemination to scheduler and senior leadership team.
- Responding to high-level executives and government officials who send invitations to doctor, to request additional information, and preparing responses to all of the NIH directors invitations that he cannot accept.
- Providing general break-up support to the Senior Writer-Editor, Administrative Coordinator, and other Executive Secretariat administrative staff, as needed.
Profile:
- NIH experience highly preferred
- College degree and over 4 years of experience supporting senior level staff
- Strong computer skills especially using MS Software
- Knowledgeable in the operation of office equipment
- Strong researching skills
- Strong writing and editing skills
- Ability to manage executive calendars
- Experience managing executive emails and invitations
