The Senior Administrative Assistant supports the members of the senior staff team and general counsel. This individual prepares correspondence, reports, presentations, contracts, and legal documents. Key responsibilities include assisting with the preparation for Board of Directors meetings, Board of Directors events, and other Credit Union events.

Responsibilities
- Provide administrative support to senior staff and general counsel, including the preparation of correspondence, reports, presentations, contracts, and other legal documents
- Respond to phone and mail inquiries from credit union members
- Draft and write responses to general reference questions
- Research issues and ensure corrections are completed, escalate issues to appropriate management as needed
- Facilitate new and renewal notary commissions for staff notaries
- Maintain notary records
- Guide staff notaries on internal policies and current Florida notary laws
- Provide administrative assistance to regional vice presidents regarding the credit union's advisory boards
- Prepare meeting notices
- Maintain member biographies, meeting minutes, and other records
- Place Certificate of Insurance orders with insurance carriers for credit union events and branch leases
- Maintain insurance records for new branches and new branch leases
- Collaborate with the Purchasing Director to maintain contract files and vendor lists
- Assist with preparing materials for Board of Directors meetings
- Support the Annual Meeting, using State of Florida Office of Financial Regulation guidelines for member notification
- Assist with the preparation, setup, and hosting responsibilities for in-house and off-site board functions, including functions for outside groups hosted at the credit union
- Maintain credit union records confidentially and securely
- Attend educational events to increase professional knowledge and remain current with compliance guidelines
Qualifications
- High school diploma or equivalent
- 8+ years of administrative experience, including experience at the executive support level
- Experience in a legal environment
- Ability to take dictation using a Dictaphone
- Excellent knowledge and understanding of credit union products, services, policies, and procedures, including board policies
- Good knowledge and understanding of regulatory compliance, including the Bank Secrecy Act, USA Patriot Act, rules and regulations of the State of Florida Office of Financial Regulation, and credit union Bylaws and Charter
- Proficient with Microsoft Suite including Word, Excel, PowerPoint, and Outlook
- Ability to prioritize tasks by effectively managing competing and changing priorities to meet required deadlines
- Accurate, detail-oriented, and organized with task management
- Ability to independently analyze and resolve complex situations to find effective solutions
- Excellent written, verbal, and interpersonal communication skills to interact with members, staff, vendors, and board of directors
- Ability to communicate practices, procedures, and policies
- Excellent knowledge and understanding of regulatory compliance necessary to successfully perform job responsibilities
- Ability to maintain a high level of confidentiality
