Wiginton Fire Systems Jacksonville is seeking a Senior Administrative Assistant who has at least 5 years of administrative experience.
The selected candidate should have experience with permitting, HR/payroll administration, customer invoicing, accounts receivable, billing, handling customer concerns, and data entry.
The ideal candidate is:
- Encouraging and understanding to their peers and leadership.
- Has past Admin experience in the Construction, mechanical, or Fire sprinkler field.
Basic Position Duties
- Answer and direct phone calls
- Organize and schedule meetings and appointments.
- Complete Human Resources tasks including but not limited to new employee orientation, completion of background screenings, ensuring completion of required paperwork, and acting as a liaison for employees in HR-related matters.
- Produce and distribute correspondence memos, letters, faxes, and forms
- Assist in the preparation of regularly scheduled reports.
- Provide technical support/assistance to administrative personnel.
- Order office supplies
- Book travel arrangements
- Submit and reconcile expense reports.
- Handle contracts and invoices
- Provide general support to visitors and Wiginton employees.
Job Requirements
- High School Diploma or Equivalent (Degree Preferred)
- Complete understanding of Microsoft Office products (experience with ERP software, especially Microsoft Dynamics GP preferred)
- Minimum of Five Years’ experience as an Administrative Assistant
- Understanding of construction-related processes; including, but limited to H/R, Contracting, and office management.
