Position Summary:
This position serves as the head secretary at our Lincoln High School. The position represents the school in communicating information, scheduling, problem solving, material acquisition, cash handling, record keeping and general secretarial work. This position works eight (8) hours per day, year round.
Preferred Qualification:
● Post High School Education or related experience and at least three years of previous office experience
● Good knowledge of bookkeeping principles and procedures and the ability to apply accounting principles to the maintenance of fiscal and accounting records
● Excellent business, communication and public relations skills
● Excellent word processing, data management and organizational skills
● Excellent technology skills
Essential Job Functions:
- Makes and receives telephone calls, takes messages and routes calls
- Assists as office receptionist and greets visitors
- Maintains school records and files for building as per the directions of the administrator
- Attends in-service training as stipulated by the district
- Prepares and updates substitute teacher folders for classroom teachers
- Orders supplies for the building
- Prepares school newsletter for mailings on a quarterly/monthly basis
- Responsible for upkeep of school data to Wisconsin State Reporting system
- Prepares state reports using Wisconsin State Reporting system
- Enters attendance information into district’s student management system
- Coordinates with the teachers and the grading program in the district’s student management system
- Assists staff members with questions regarding the district’s student management system
- Prints and distributes student report cards
- Processes all student honor roll information and send to local newspaper
- Coordinates the next year scheduling of all students during the summer
- Prepares start of school year teacher information packets
- Schedules pictures for athletic teams and student school pictures
- Prepares student schedules and other student information relative to the start of the school year
- Prepares bi-weekly payroll time sheets
- Attends to the needs of ill/injured students as needed
- Maintains the District’s standards relative to the confidentiality of information about students and school related concerns
- Uses good judgment in making decisions in accordance with regulations, ordinances, laws and establishes District policies
- Develops effective working relationships with people with the ability to be empathetic and show patience with parents, students and staff.
- Works closely with other office secretaries to create a harmonious and efficiently run office
- Attends to the safety and well-being of all students and staff, including but not limited to the use of universal precautions as per blood borne pathogens training
- Operates office equipment in a proper and responsible manner
- Performs other duties as assigned by the building principal

Language Skills – The ability to read and interpret documents such as computer operating manuals, technical assessments reports and policy and procedure manuals.
Mathematical Skills – Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference and volume.
Reasoning Ability – Ability to apply common sense understanding to carry out detailed written or oral instructions as well as instructions in diagram or schedule form. Ability to deal with problems involving a variety of concrete variables in situations where only limited standardization exists.
Other Skills and Abilities – Must have excellent communication and interpersonal skills with excellent telephone etiquette.
Good knowledge of bookkeeping principles and procedures and the ability to apply accounting principles to maintenance of fiscal and accounting records. Must have adequate computer skills to perform the essential job functions and have the ability to learn and utilize new software programs as systems are upgraded. Typing is required with good grammatical spelling and punctuation. Ability to communicate clearly and concisely, both orally and in writing. Ability to effectively attend to multiple tasks at one time while maintaining a calm disposition. Ability to perform duties with awareness of all district requirements and Board of Education policies.
