As the executive or senior level secretary, provides high level secretarial and administrative services for the Outpatient Services Office. Coordinates the activities for assigned projects and programs.
Among the key duties of this position are the following:
- As the senior level secretary, provides high level secretarial/administrative services and support for the department.
- Completes typing from tapes or drafts with 90-95% accuracy and ensures completion of typing assignments in accordance with established Unit format as observed by supervisor and feedback from staff.
- Provides secretarial assistance in conjunction with relevant meetings.
- Coordinates meeting arrangements on an as-needed basis in a professional and courteous manner as noted by supervisor.
- Responsible for accurate data entry and maintenance of all program records.
- Maintains records and generates reports needed for efficient operation of the department.
- Completes appropriate internal paperwork required by department, UBHC, and University.
- Within established guidelines, completes payroll timesheets on a biweekly basis with 90-95% accuracy as evidenced by feedback and supervisory observation.
- Receives and assists clients and visitors.
- Greets all callers in a prompt and courteous manner as observed by supervisor and evidenced by feedback from staff, visitors, and callers.
- Handles telephone calls in a professional and helpful manner.
- Answers incoming telephone calls promptly and refers to appropriate party as observed by supervisor and indicated by feedback from staff.

- Graduation from an accredited program in secretarial studies, plus four (4) years of full-time secretarial experience required.
- An additional year of experience is required in lieu of the secretarial program.
- College credits may be substituted on a year-for-year basis for secretarial experience.
- Up to sixty (60) credits may be substituted for two (2) years of secretarial experience.
- Proficiency in typing and word processing skills required.
- Microsoft Office experience required. Good external and internal customer service skills.
- Knowledge of PeopleSoft and procurement policies and procedures preferred.
- Moderate physical effort (lift/carry up to 50 pounds).
- Walking throughout the program space throughout the day.
- Frequently prolonged sitting and data entry.
- Frequently talks and listens to people on the telephone, and intermittently walks, bends, stretches, pushes and pulls.
- Fast-paced work environment in a clean, well-lit, active setting.
- Client presence in the program throughout the work day with client crisis occurring frequently.
- Ongoing contact with patient population.
