Job Description
The Iowa Department of Public Health (IDPH) and Department of Human Services (DHS) merged on July 1, 2022, to form one agency - the Iowa Department of Health and Human Services (HHS).
HHS, Community Access Division, is seeking a Secretary 1 to provide a variety of secretarial duties of a quasi-administrative nature to conduct specialized technical and clerical processes in the Hamilton County office. This is a full-time opportunity, Monday - Friday with work hours being from 8:00 AM- 4:30 PM.
New hires will start at the base salary of $16.46 hourly, $1316.80 biweekly, $34,236.80 annually.
Core Essential Functions
• General Support
o Answer general questions and route calls coming in on multiple phone lines in a timely, professional, and courteous manner.
o Provide reception coverage, respond to questions, route customers in a professional and courteous manner. This may include coverage in other county offices.
o Type and process letters and other documents, copy, scan, collate, upload, and distribute documents for workers.
o Process incoming and outgoing mail, documents, and emails. Processing includes scanning, indexing, uploading both paper and electronic mail.
o Perform back-up responsibilities for all clerical staff or as assigned.
o Attend staff meetings, training sessions and core courses.
o Review manual and other sources of communication to keep current on policy and procedure.
o Other duties as assigned.
• Administrative
o Coordinate office operations in conjunction with direct supervisor and other management.
o File administrative materials, correspondence and reports include Local Administrative Expenses (LAE).
o Order and maintain supply and forms inventory, complete and process invoices to ensure timely payment of expenses.
o Monitor the budget monthly to ensure adherence to line item and overall monetary parameters.
o Work with supervisor to determine operational needs in imaging/scan center, business office and support staff.

• Travel occasionally when it is necessary to cover absences/vacancies in other DMSA offices.

Minimum Qualification Requirements
Experience equal to one year of full-time clerical or closely related work;
OR
post high school course work in an accredited secretarial, business, or closely related curriculum may be substituted for the required experience on a month-for-month basis;
OR
completion of thirty (30) semester (or equivalent) hours of undergraduate college level course work may be substituted for the one year of required experience;
OR
certification from the State of Iowa Administrative Assistant Certificate Program will substitute for six months of the required experience;
OR
employees with current continuous experience in the state executive branch that includes permanent status as a Typist-Advanced.
