Overview:

The Department Secretary provides administrative coordination and support to the Palliative Care Department staff. Providing assistance to the Medical Director, Program Manager and Palliative Care Team through a variety of functions are the primary duties.

Responsibilities:
  • The associate is aware of hospital and department compliance for federally funded healthcare programs (e.g. Medicare and Medicaid) regarding fraud, waste and abuse. Brings any questions or concerns regarding compliance to the immediate attention of department or hospital administrative staff.
  • Purposefully conducts all aspects of the job in an ethical manner in support of the hospital’s commitment to ethical behavior in all areas of personal and professional activity.
  • Successfully completes hospital-wide orientation, annual hospital competencies and department/unit specific competencies.
  • For the safety of our patients and co-workers, St. Luke’s Hospital requires seasonal and job related vaccinations. This is reviewed regularly during periodic health assessments.
  • The assistant relieves the Medical Director, Program Manager and palliative care team of routine matters, preserving the confidential nature of items of which he/she has knowledge. He/she must maintain the files, supplies and general office condition in an orderly manner.
  • Provides administrative support to the Medical Director, Program Manager and palliative care team such as Power Point presentations, reports, graphs, external communications, printing requests and database entry.
  • Provides administrative support for palliative care billing practices.
  • Prepares letters, memoranda, records, reports and other word processing for Palliative Care organization. Does computer data entry accurately and in a timely manner.
  • Ensures that payroll is entered accurately and timely.
  • Maintains or assures accurate and timely minutes of meetings and action teams as requested.
  • Collects, tabulates and prepares all palliative care data.
  • Answers telephone calls politely and forwards them appropriately. Uses the paging system appropriately
  • Establishes, maintains, and revises designated office filing and record keeping systems including computer files.
  • Monitors and orders all clinical and office supplies.
  • Maintains all departmental manuals, SOPs, policies and procedures, and monthly reports.
  • Coordinates and logs requests for communications projects and assures forms are complete.
  • Coordinates IT and equipment needs for in-services and meetings.
  • Works collaboratively with the Community Benefits Coordinator: tracks, documents and catalogs.
  • Coordinates bulk mailings with Volunteer Services.
  • Other duties as assigned by the Program Manager.
  • Performs other duties as deemed necessary to meet the hospital’s mission, to give the healthcarewe’d like our loved ones to receive.

Qualifications:
Education
  • Minimum of two years’ experience or graduation from a one or two year business college preferred.


Qualifications/Experience

  • Writes, reads, comprehends and speaks fluent English.
  • Typing speed of 50 words per minute. Ability to use personal computer, copier, facsimile machine and phone/ paging system.
  • Knowledge of medical terminology preferred. Knowledge of death/dying issues and awareness of Palliative Care philosophy preferred.
  • Meets the health requirements set by St. Luke’s Hospital.


Special Skills/Knowledge
  • Proficiency at Microsoft Office software products including Word, Excel, Access and PowerPoint is required.
  • Must be able to successfully complete basic computer course through in-hospital training.
  • Must successfully complete in-hospital orientation and competencies.
  • Demonstrates skill, organization, and efficiency in performing required activities.
  • Working knowledge of office machines.
  • Effective verbal and written communication skills.
  • Effective telephone skills.
