Position: Scheduling Coordinator
Department Long Term Care Nursing
Reports to: Director of Nursing Senior Living
Days/Hours: 8:00am – 4:30pm
FLSA/FTE: Hourly (80 Bi-weekly)
Job Summary
To assist in maintaining an organized and efficient Long Term Care nursing department. Responsible for completing the nursing department schedule.
Responsibilities
- Maintain current personnel data for preparation of the monthly schedule.
- Maintain up to date master schedule and provide to new employees.
- Provide communication as to when requests are due, and the schedule will be completed.
- Assist in developing scheduling guidelines.
- Assist DON in managing PTO requests.
- Enters exceptions and reviews all timesheets prior to DON approval.
- Develop and revise necessary computerized forms to meet regulations and promote efficiency.
- Assist Materials Management with supply needs.
- Monitor and order stock meds weekly and obtain as needed.
- Participate in quality assurance (Q.A.).
- Update and print resident lists as needed.
- Regard each medical record as highly confidential.
- Ensure medical records policies and procedures are carried out.
- Answer lights promptly and meet the resident’s needs.
- Promote orderliness in the nursing department and develop systems to maintain it.
- Administrative duties as delegated by CC Nursing Administration.
- Observe and Monitor CNA activities and quality of care.
- Onboarding of CNAs.
- Manage agency apartments including scheduling and cleaning of apartments in between staff assignments.
- Ability to cover resident needs as they arise including CNA/dining aide/activities duties.
- Complete required annual education lessons.
- Perform other duties as requested by supervisor.

Education/Experience/Licensure
- CNA Certified or willing to obtain within 6 months of hire.
- Preferred experience in long term care, medical secretary, and/or scheduling.
Working Environment/Physical Demands
- Prolonged periods of sitting. Frequent walking, squatting, pulling, pushing, and bending.
- Must be able to lift and carry up to 35 pounds at times.
