JOB PURPOSE:
Responsible for managing the physician scheduling process, maintaining the physician calendar along with providing accurate information on electronic schedule resources. Report accurate information and manage schedule changes. In addition, providing operational and lead support to the Operations Manager with some of the day-to-day operations as well as to review, update and refine process to support the business. She/he will assist the Operations Manager with implementation of new service roll-out strategies and products to achieve performance and quality improvement; support and assist with the variety of projects for the ambulatory physician practices. Assist with the review and restructure current business workflows, resources and process to develop short- and long-term goals, this may require working with cross-functional departments. This position will play a key role in reviewing practices and procedures with an eye for continuous improvement and efficiency.
KEY RESPONSIBILITIES:
1. Management of the scheduling platform (QGenda) for the ambulatory practices
a. Provides training to the practice managers
b. Ensures that all of the schedules are accurate
c. Reports any scheduling conflicts that will affect the revenue of the clinics
d. Serves as point of contact for all physician Time Away and communicates Time Away hours accurately and timely.
e. Assigns the number of time away days based on experience.
f. Generates and maintains accurate reports and databases regarding all information as it pertains to physicians' schedules, Time Away, Call, clinic and all other tasks.
g. Stays abreast of platform updates and features.
2. Acting liaison with the after-hours vendor.
a. Trouble shoot process and billing issues.
b. Implements the use of QGenda to improve efficiency of on-call information.
3. Manages the Epic templates for the ambulatory practices.
4. Manages the primary care physician PRN pool.
a. Assigns the PRN physicians to the practices based on the appropriate need.
5. Assist with practice operational initiatives/projects.
a. Acts as substitute for Operations Manager in her/his absence.
b. Participates and provides feedback in operational forums.
6. Leads/coordinates training sessions and meetings regarding operational matters.

MINIMUM EDUCATION REQUIRED:
Associate's degree in related field with two (2) years of healthcare experience, preferably in ambulatory practice or practice operations required, OR
High school diploma or GED with four (4) years of healthcare experience, preferably in ambulatory practice or practice operations required.
