G & C Care is currently seeking an Administrative Assistant/ Schedule Coordinator with excellent communication skills, and the ability to provide the highest level of customer service to our clients and caregivers.
Job Summary:
- Answers incoming phone calls, gathering and processing client information from various sources of referrals.
- Obtains necessary client referral information to assist with the initiation of homecare services.
- Assist in developing, monitoring and the management of ongoing caregiver and client schedule.
- This includes selecting and apportioning work among the caregiver staff based on skills, performance and the overall needs of the client.
- Maintains accurate scheduling for clients and caregivers for multiple disciplines.
- Facilitate communication between the caregiver and the client, ensuring that all client needs are met through the delivery of quality care, as well as identifying and resolving potential client issues that may arise.
- Ensure that the office has adequate staffing levels and availability to service potential clients.
- Understands and adheres to established policies and procedures.
- Contact care providers and clients regarding day-to-day changes.
- Maintains caregiver and client database.
- Produces reports and articulates interpretation to the administrator.
- Monitors visit utilization, missed visits and caregivers’ productivity.
- Discerns client services required as outlined in agreements, urgent requests and care plans.
- Maintain confidentiality regarding all aspects of job responsibilities and compliance with HIPAA Privacy and Security Rules.
- Maintain all paper records in accordance with policy and procedures.
- Work closely with payroll to ensure time sheet submissions are on time.
- Performs other duties as assigned by management.
Job Requirements:
- Minimum of high school diploma or GED.
- Minimum of two years of related experience with experience in scheduling in client care or scheduling preferred.
- Strong computer literacy, including proficiency in Microsoft Word, Excel and PowerPoint.
- Demonstrated leadership skills and outstanding people management skills.
- Must be able to work under time pressures and manage multiple demands simultaneously
- Exceptional customer service skills and written / verbal communication.
- Strong problem solving and organization skills.
- Willingness to spend extended periods of time on the phone.
- A reliable vehicle and valid driver’s license with the ability to pass a background check (including motor vehicle records check).
Position Physical Demands:
- Walking, sitting, and standing with lifting not expected to exceed 25 pounds in weight. Extended time at a computer work screen and on the telephone.
