The Scheduling Coordinator is responsible for managing and coordinating schedules, appointments, and events for an organization. This role involves effective communication with internal and external stakeholders, optimizing resource allocation, and ensuring a smooth flow of operations. This role will be responsible for crew rotation, movements, and confirmation of all seagoing Hotel/ Deck/ and or Engine personnel.
Key Responsibilities:
- Create and maintain schedules for appointments, meetings, and events.
- Coordinate with various departments to ensure optimal use of resources.
- Adjust schedules as needed to accommodate changes and emergencies.
- Communicate with clients, customers, and team members to schedule appointments and meetings.
- Provide clear and timely information regarding schedules and any changes.
- Address scheduling conflicts and find suitable resolutions.
- Optimize the allocation of resources, including personnel, meeting rooms, and equipment.
- Collaborate with relevant departments to ensure the availability of required resources.
- Maintain accurate and up-to-date databases of appointments and schedules.
- Utilize scheduling software and tools to streamline processes.
- Provide excellent customer service to clients and internal stakeholders.
- Assist clients in scheduling appointments and address any concerns or inquiries.
- Generate and distribute schedules, reports, and relevant documentation.
- Keep detailed records of appointments, cancellations, and reschedules.
- Identify and resolve scheduling conflicts or issues in a timely manner.
- Collaborate with team members to find solutions to logistical challenges.
QUALIFICATIONS:
- 1+ years of customer service experience.
- Prior Scheduling, Coordinating or Logistics experience
- Proficiency with Microsoft Outlook, Word and Excel
- Associate Degree preferred.
- Excellent written and verbal communication skills.
- Demonstrated ability to work collaboratively with team members in a demanding, high-stress environment.
- Must be a quick thinker and be able to organize and prioritize tasks in a fast-paced, operational environment.
- Must be able to effectively communicate verbally by telephone and in writing.
About: This is a temporary hybrid position in Miami projected to last through summer. The position pays $23 an hour and is a full time hours, can opt in for benefits after probationary period.
