The Sales Operations Specialist is responsible for understanding, optimizing, and executing the internal and external end-to-end Sales Operations workflow, which requires working with internal stakeholders to implement those improvements to enhance the overall operational processes. This teammate will also facilitate order fulfillment, provide accounts receivable support, field sales communication, and reporting.
This position reports to the Operations Manager.

Essential Duties and Responsibilities
- Review and archive daily open order reports and soft copies of purchase orders
- Review and process new sales POs from customer accounts into Oracle cloud
- Manage and fix all PO shortage/overage chargebacks from customer accounts and cross functionally work with pertinent departments
- Provide monthly shipping reports to Sales Reps
- Oversee sales process adoption, compliance, and identify opportunities for improvement in the sales process and systems to ensure greater sales effectiveness and efficiency
- Become subject matter expert in all internal sales programs and be able to enforce guidelines or seek approval from appropriate parties regarding special requests
- Understand and implement the order flow process (for standard and custom orders) to identify problem areas and resolve or advise on next steps
- Coordinate with account buyers to obtain PO changes such as extensions, ship window modifications
- Manage the order inquiry process by answering emails and phone calls regarding order changes, availability, or PO status from the sales team and/or customers as requested
- Oversee product availability process by tracking current and past product offerings (new, in-line, and closeout products) and be able to provide accurate information on inventory status or estimated delivery schedule with the sales team or customer as requested.
- Submit/validate coop and price protection claim requests for in-house accounts in Salesforce
- Monitor A/R debit memo report and coop aging report; investigate and resolve outstanding deductions Reconcile report with A/R team for accuracy of debits/ credits to accounts
- Distribute markdown letters to sales territories and create markdown program forms in Salesforce
- Maintain and update backend rebate planners for major promotions including Black Friday and Month of Anime
- Possess an understanding of audit procedures, understand auditing activities and preparation of such activities.
- Provide support on sales systems and data operations as needed

Qualifications/Requirements
- 3+ years of sales order/ claims processing experience
- 2-3+ years’ experience in Purchasing or Purchasing-related activities
- 2-3+ years’ experience with database/parts management tools
- 2-3+ years’ business experience, preferably in the procurement and/or supply chain industries.
- Experience in using MS Excel, data entry applications (e.g., enterprise resource planning systems, statistical data entry packages), Oracle based systems (Oracle Cloud), Salesforce.
- Experience working with cross-functional teams to gather and maintain data
Educational Requirements
- Bachelor’s degree in Business, Finance, Data Analytics/Informatics, Information Technology or related field
- Or equivalent experience preferred
Salary Range: $73,589 - $112,047
Actual base salary will be determined based on numerous relevant business and candidate factors including, but not limited to, education, qualifications, certifications, experience, skills, geographic location, and business or organizational needs.
