Sales and Administrative Assistant. - The Sales and Administrative Assistant will be responsible for handling all administrative duties as required by the Sales and management team. This is a dynamic role requiring a varied skillset and a positive attitude focused on delivering an excellent customer experience. Responsibilities to include:
- Updating demand calendars and fostering interdepartmental communication.
- Salesforce administration.
- Managing phones and lead platforms, ensuring all communications are handled or distributed in a timely manner.
- Scheduling workload to meet deadlines of all managers.
- Typing and distributing correspondence, including booking notices, letters, contracts, etc. for assigned managers. Ensures that all correspondence is 100% accurate.
- Assisting Director of Sales and other managers throughout the day.
- Maintaining office and order supplies and other pertinent materials that assist the sales and marketing process.
- Occasionally maintaining minutes in meetings.
- Understanding Lightspeed to assist in the Reservation process.
- Occasionally working shifts or assisting at the Front Desk.
- Maintaining Lightspeed pre arrival planning, daily execution, and solicitation as necessary.
- Assisting with reporting as necessary.
- Acting as an on-site point of contact for clients.
- Maintaining account files and ensuring that all information is included in the file, i.e. post convention reports, letters, fax information, etc.
- Coordinating general office functions.
- Ensuring that all managers receive messages in a timely manner. (Messages to include name and phone number of caller, date and time call received).
- Maintaining positive interdepartmental communications.
- Designing, creating and producing collateral pieces: Activities Handouts, Special Packages/Promos Leisure, Groups Meeting Offers, and welcome messaging.
- Coordinating and monitoring rewards program for group bookings.
- Performing other duties as assigned by management.
- This position may require assistance with event execution including but not limited to setting up and tearing down events, being present during events as a client liaison, assisting banquet manager as necessary.
- This position will require some nights and weekends during events and will not exceed 40 hours.
Job Types: Full-time, Part-time
Pay: $15.00 - $17.00 per hour
Expected hours: 20 – 40 per week
