POSITION SUMMARY:
Serve as the receptionist for the office by greeting visitors on the phone or face to face, welcoming, and directing them appropriately. Also works as a Legal Administrative Assistant assisting attorneys and paralegals through the performance of secretarial and clerical duties requiring knowledge of legal terminology and the legal process. This position requires the handling of confidential client and firm data in a professional and ethical manner on a daily basis and provide attorneys, visitors, and clients with assistance as defined below.
PRIMARY DUTIES AND RESPONSIBILITIES:
1. *Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries and routing calls to appropriate parties.
2. *Receive clients/guests professionally and notify appropriate parties of their arrival.
3. *Maintain conference room scheduling book and calendar, including preparation of set-ups (i.e. order and set up of meals, coffee, water, soda, or any other items requested).
4. *Maintain neat appearance of receptionist area and conference rooms, including stocking areas with any needed supplies.
5. *Maintain voicemail attached to main number.
6. Act as overflow support to attorneys and paralegals as needed.
7. May transcribe dictation, format documents, proofread, copy, scan, e-mail, in-put time entries, etc.
8. May e-file documents with courts and/or agencies
9. May open or close files.
10. May do scheduling of depositions, court reporters, hearings, conference calls, meetings, and make travel arrangements.
11. May communicate with clients, opposing counsel, etc. in person, by phone and e-mail.
12. Other duties as assigned.

- Entry level computer skills including typing and proofreading
- Ability to work early and/or late, as needed, to prepare for and clean up after events

1. EDUCATION: High school diploma or equivalent
2. WORK EXPERIENCE: It is preferable to have at least two years of experience in the office environment, but consideration will be given to previous work experience.
