Job description

Job Overview:
We are a dynamic financial planning firm dedicated to delivering outstanding financial advisory services. We seek a proactive and highly organized Assistant/Admin to provide key support to our financial advisors. This role is pivotal for managing administrative tasks, facilitating client communication, and ensuring our office operates smoothly. Reporting directly to our advisors, the position offers a significant opportunity for career advancement in the financial services sector. This is a full-time position based in our office.

Key Responsibilities:

  • Provide comprehensive administrative support to the financial advisors, including but not limited to, managing calendars, scheduling appointments, and preparing materials for meetings.
  • Handle communications with clients, responding to calls and emails promptly to maintain excellent service standards.
  • Assist with the creation of financial reports, presentations, and documentation as required.
  • Manage and update client records and databases, ensuring accuracy and confidentiality.
  • Play a crucial role in client account management, including record-keeping, paperwork for opening new accounts, and other administrative tasks related to account maintenance.
  • Coordinate with team members and other departments to facilitate seamless client services.
  • Attend meetings and conferences, capturing detailed notes and actionable items.
  • Support the implementation of office policies and procedures to optimize workflow.
  • Execute additional administrative duties as assigned by the financial advisor.

Qualifications:

  • Bachelor's degree or equivalent professional experience in business administration, finance, or a related field.
  • Strong organizational skills with the ability to multitask effectively.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite and financial management software.
  • Attention to detail with a commitment to high accuracy and confidentiality.
  • Ability to work both independently and collaboratively within a team.
  • Previous experience in an administrative role within the financial services industry is highly desirable.
