GENERAL DESCRIPTION:
The Receptionist/Administrative Assistant is responsible for managing the office switchboard, handling incoming phone calls and directing calls accordingly in a courteous and professional manner. Responsible for managing the efficiency and appearance of the front desk and show room, as well as greeting and assisting customers, vendors, and visitors. Also responsible for performing various administrative support functions, as assigned.

EDUCATION
- Required: High school diploma or equivalent
EXPERIENCE
- Required: Minimum of two year receptionist experience
- Required: Minimum of one year experience in administrative support
- Required: Minimum of one year experience in a retail environment
SKILLS, KNOWLEDGE, AND ABILITIES
- Must be bright, articulate, and capable of demonstrating effective customer service skills
- Strong people skills and a desire to help people, with the ability to use tact and diplomacy in dealing with people, both internal and external customers
- Proficiency with MS Windows, Word, Excel, Outlook and Internet navigation
- Ability to handle multiple projects and meet deadlines
- Maintain a positive service-minded attitude when faced with customer concerns
- Places emphasis on integrity, honesty, and good work ethic
- Ability to take initiative and perform tasks with limited supervision

DUTIES AND RESPONSIBILITIES
The principle duties and responsibilities of this position shall consist of, but are not limited to, the following:
- Answer multi-line telephone system, takes accurate messages and transfers telephone calls to the appropriate person in an efficient manner
- Refer callers to outside resources as appropriate
- Assist customers with retail sales and pick up orders
- Greet and assist customers/visitors in a professional manner and notify appropriate person of their arrival
- Receives and signs for packages, and deliver to the appropriate person promptly
- Types correspondence and memorandums in proper format and mail as assigned
- Set up and manage voicemail greetings when the office is closed or employees are not available to service our customers
- Maintain the front desk, show room, and conference room; rotate products as instructed by management
- Provide administrative support for some sales and marketing tasks, as well as provide administrative support to the Office Coordinator, VP of Operations, and CEO
- Perform additional administrative support functions, as assigned
- Catalog requests from website
- Enters leads from Customer Request and Quote Requests daily as well as business card addresses collected from each trade show into SLX
- Updates phone extension list and distributes accordingly
- Mails out customer invoices on the 1st and 15th of each month
- Updates main calendar with current employee birthdays and anniversaries
