BACKGROUND
The Administrative Assistant position is essential to the performance of the Trolley Square Shopping Center. They must be reliable, diligent, well organized, capable of independent work, able to write clearly, have strong interpersonal communication skills, basic accounting and have excellent knowledge of Microsoft Office applications. Responsibilities include general office support such as answering phones, filing, copying, scanning, invoice coding, paper work, and running errands in the downtown area. These duties include but are not limited to the following:
ADMINISTRATIVE:
- Answer phones and return/relay messages
- Schedule all appointments that Trolley staff need
- Check mail and sort accordingly
- Assist staff with creating PRs and PAs as directed
- Professionally respond to all necessary emails
- Schedule space rental/appointments for the tenants and events as directed
- Clean office for the night and set the coffee pot for the next returning work day
- Work closely with the Property Manager and Operation Director and assist with tasks as needed
- Be available after hours and weekends to assist with Trolley Square Events as needed
- Support marketing efforts at Trolley Square. These may include social media and on-site events.
ACCOUNTS PAYABLE:
- Review invoices thoroughly to ensure billings are in accordance with contracts, purchase orders and/or work orders
- Process, code and input operating invoices into YARDI (Property Accounting Software)
- Submit invoices to Property Manager for approval
- Obtain W-9 for new vendors
- Maintain filing of all check copies, invoices, contracts and the like
ACCOUNTS RECEIVABLE:
- Mail out tenant statements
- Log and mail checks received in office to the lockbox
- Responsible for maintaining tenant sales data
- Make bank deposits when necessary
- Professionally call or email tenants/customers regarding outstanding AR balance as directed
