The Middle School front desk receptionist is responsible to the Middle School Principal and works closely with the faculty, staff, students and parents. The receptionist must be a sensitive and mature individual who is able to communicate and relate well to both students and adults. This person should project a professional appearance at all times and have the personality and ability to provide leadership and stability in this role.. The responsibilities of this position include:
Required Qualities, Knowledge, Skills and Abilities:
- Display a love for the Lord; support the mission of CAK and possess a sincere, outgoing desire to serve all those associated with CAK
- Regularly attend and actively participate in a local Christian church
- Basic word processing, spreadsheet and database skills
- Ability to operate office technology including use of computers, copiers, and phones
- Knowledge of organizational procedures to maintain office efficiency
- Ability to communicate effectively, both orally and in writing
- Working knowledge of school: mission, philosophy, day-to-day operations
- Ability to work well with others, including administrators, faculty, staff, students, parents, and the community
- Demonstrate flexibility during busiest times of the year and when unexpected tasks arise
Requirements
Responsibilities to the Middle School Office include:
- Receive visitors, parents and students at the front desk warmly by greeting, welcoming, directing and announcing them appropriately
- Answer and forward incoming phone calls; screening them as appropriate for MS administrators
- Provide accurate and timely information in person and via telephone and email
- Maintain building security by controlling access to the building from the reception desk; ensure all guests to building are signed in and given a visitor's badge to wear
- Assist with printing and or management of materials such as curriculum documents, handbooks, class rosters, and various schedules, as appropriate
- Organize reception area, lobby, and faculty lounge in an efficient, orderly manner
- Maintain MS Master Calendar, including publishing upcoming dates on multiple school calendars.
- Alter daily schedules as needed for half-days and holidays in MyCAK
- Schedule events with vendors, such as school pictures
- Receive, sort, and distribute mail
- Multitask and manage time appropriately with ability to prioritize necessary tasks
- Provide support for administrators in emergency situations as noted in the emergency management plan
- Be resourceful and proactive when issues arise
- Present professional manner and appearance at all times
- Maintain confidentiality
- Submit facility requests for MS events
- Submit maintenance requests for MS building
- Help keep the teacher workroom organized
Responsibilities to Faculty/Staff include:
- Serve as backup to the administrative assistant helping substitutes sign in and get materials needed for the day
- Provide faculty with school forms and assist in completing forms when necessary
- Assist in preparing materials for faculty and staff.
- Assist with various supervisory duties
- Assist in classrooms when needed
- Value and support members of the school
Responsibilities to Students include:
- Assist guidance counselor in filing and maintaining student records, including test scores, progress reports, conference notes, applications, photos
- Maintain confidentiality
- Be responsible through MyCAK for tardy records, record of students signed out early or for appointments, daily absences, and attendance per class period
Responsibilities to Parents include:
- Deliver messages to teachers and/or when requested by parents
- Provide information to parents regarding the school or direct them to the appropriate person for answers
- Assist parent volunteers
- Return calls for information promptly
- Schedule appointments for parent teacher conferences
Perform other duties as requested by Middle School Administrators or Head of School.
