Job description

The Carter Treatment Center (TCTC), located in the heart of Cumming, GA, is an evidence-based, client-centered treatment program that provides Intensive Outpatient (IOP) treatment services for substance use disorders in a warm and welcoming environment with professional and caring staff. The Carter Treatment Center is currently seeking a full-time Receptionist for our program. The Receptionist will be responsible for providing a warm and welcoming environment to clients and visitors to the facility as well as managing a variety of administrative tasks of the front-end processes and supporting the clinical processes to ensure the facility operations run smoothly and efficiently. As a Receptionist at The Carter Treatment Center, you will work with a supportive and collaborative interdisciplinary treatment team that are all focused on The Carter Treatment Center’s mission to provide education, therapy, support, and community resources to enable individuals to achieve their full potential.

Schedule: Full-Time, Monday through Friday, 9am-5pm

Responsibilities:

- Coordinate the client admission process:

  • Maintain stock of documents needed for intake and prepare the necessary documents prior to appointments
  • Create new client demographic information in the Electronic Medical Record (EMR) and ensure accuracy of demographic and insurance information entered in the EMR
  • Provide clients with initial assessment paperwork and evaluate for completion
  • Obtain copy of valid Georgia identification and copy of health insurance card
  • Provide clinicians with completed new client paperwork and documents necessary for client intakes
  • Obtain medical records from referring facilities and outside providers
  • Assist clinicians with conducting client orientation as needed
  • Upload consents, new client paperwork, and other assessment documents to client’s record in the EMR

- General office duties:

  • Receive all incoming phone calls and provide assistance to callers by answering questions, providing information, taking messages, and/or forwarding calls to appropriate staff
  • Greet all clients and visitors entering the facility; provide assistance to meet their needs, alert the proper staff of their arrival in a timely manner
  • Ensure lobby is neat and clean, straighten lobby and conference room seating
  • Keep supplies organized in their proper storage locations and assist with monitoring inventory of supplies
  • Upload documents to client charts in the EMR, including drug screen and breathalyzer results
  • Shred confidential documents as needed
  • Create and/or update paper and electronic program-related documents and forms as necessary, and file/upload into proper locations
  • Provide assistance with scheduling or re-scheduling appointments in the EMR as needed
  • Generate reports from the EMR system, utilize Excel for data entry when required
  • Assist with the collection of urine drug screens when needed
  • Maintain confidentiality and adhere to HIPAA and 42 CFR Part 2 at all times, ensuring the privacy and security of client information
  • Adhere to all agency policies and procedures, and state and federal regulations
  • Complete all required chart audits by examining client charts for completeness, ensuring all required information and documents are included; note any deficiencies, refer to appropriate staff for follow-up, and complete quality assurance forms as necessary
  • Assist Finance Manager with insurance/billing duties as assigned
  • Assist Clinical Director and Clinicians as needed to ensure clinical operations run smoothly
  • Assist Program Director with monitoring compliance and other tasks as assigned
  • Complete required trainings and attend staff meetings as scheduled
  • Other duties as required or assigned by leadership

Qualifications:

  • High school diploma or equivalent required, some college preferred
  • Experience as a receptionist or in customer service is required; experience working with clients in substance abuse or behavioral health treatment is preferred
  • Must be professional, personable, and have a client-centric approach to customer service
  • Proficiency in QuickBooks, Microsoft Office Suite (especially Excel, Word, Outlook, SharePoint, OneDrive), Adobe, other computer program applications, and basic office equipment is required
  • Must have previous experience with Electronic Medical Record (EMR) systems and ability to generate reports from an EMR system
  • Knowledge of confidentiality laws (including HIPAA, 42 CFR Part 2) and consent for release of information; experience with requesting client records and fulfilling received records requests
  • Strong verbal and written communication skills, with the ability to convey information clearly and empathetically
  • Excellent time management skills, extremely organized and detail-oriented, able to analyze and prioritize tasks with flexibility to adapt to changing priorities and client needs
  • Able to work independently, and also work well in a close team environment
  • Must be able to pass a drug screen and background check

Pay: $35,000.00 - $50,000.00 per year
