Global Security Concepts, Inc. is now hiring for a PT RECEPTIONIST/FRONT DESK.
The schedule for this position is :
MONDAY - FRIDAY
12:00 PM - 4:30 PM
Payrate: $19 PER HOUR
Must be able to sustain good attendance and be reliable.
General Purpose: Provide basic clerical and administrative support to the Los Angeles Corporate Office, including but not limited to perform a variety of administrative and office support functions.
THE FOLLOWING ARE SOME OF THE DUTIES AND JOB RESPONSIBILITIES BUT ARE NOT LIMITED TO:
1. Provide basic clerical and administrative support to the Corporate Office, including but not limited to: perform basic Personal Computer (PC) tasks, filing, shipping, copying, sorting, data entry, scanning documents, and open and close office.
2. Answer incoming telephone calls to determine purpose of callers and forward calls to appropriate staff and takes messages for Corporate Office staff members.
3. Welcome and receive visitors and employees seeking assistance and direct them to the proper staff.
4. Answer routine questions and maintain files of all incoming/outgoing correspondence; prepare outgoing mail as needed.
5. Create applicant and employee files; organize and file records accordingly.
6. Assist the Payroll Dept. with employees’ liens and wage garnishments by processing and mailing wage garnishment statements to employees.
7. Process, mail and distribute all invoices provided by Accounting/Payroll and make certain all invoices are mailed by the due dates for clients’ billing.
8. Assist the Operations Team with New Hires/Orientation Process; prepare new hire packets, assist applicants with orientation and training, and process and verify I-9s and BSIS Guard Cards.
9. Create new hires personnel files, compile new hire packets, and maintain personnel related records for employees to ensure that all documentation is complete and up to date.
10. Archive files, and keep tracking records, if required.
11. Reviews records, files and other documents to obtain information to respond to requests.
12. Performs other clerical and office support duties as necessary.
Office Support functions:
1. Opens and closes office; clean and stock Executive Offices and common areas.
2. Inspect, clean and organize kitchen and common areas; clean, stocked with supplies and make ready for continual use.
3. Assist with the organization and inventory of office and food service supplies.
4. Make coffee/tea for executives. Order, pickup, arrange, set up for delivery of food and beverages.
Minimum Requirements
High School Diploma required
Must be at least 18 years of age or older
Must be able to sustain good attendance and be reliable
Must have a valid state ID or DL
Bi-lingual preferred (Spanish)
Education and Training
Preferred: One year of Receptionist/customer service experience and a high school level education, or an equivalent combination of experience and education. Must understand, read, and follow written instructions and comprehend verbal and written instructions.
Skills and Abilities:
1. Must adhere to and become knowledgeable in Company policies, procedures and rules.
2. Ability to interact and communicate with people in a courteous manner while displaying good customer service skills at all times.
3. Ability to remain calm and be personable, articulate, knowledgeable and professional in presenting oneself in a professional setting.
4. Ability to function with a high level of patience, tact and diplomacy in handling any “complaint” situations.
5. Ability to write, read, understands clear and concise reports, short and routine notes, and fills out basic forms.
6. Must possess basic computer skills to use a PC to complete routine, basic correspondence. Must have proficiency in Excel, Outlook and Word.
Must be able to stand, walk, or sit for extended periods. Ability to lift and move heavy items/boxes if required.
