About Amyloidosis Research Consortium

The Amyloidosis Research Consortium (ARC) is a 501c(3) nonprofit organization founded in 2015, harnessing the power of collaboration and innovation to advance science and both improve and extend the lives of those with Amyloidosis. We are dedicated to transforming the way research is being done and focus on what will have the most significant impact on improving the lives of amyloidosis patients. We forge collaborations across industry, research, clinical care, and regulatory to address unmet need and accelerate the discovery of new treatments. ARC empowers and supports patients by ensuring they have access to the best quality care and information.
Amyloidosis is the term for a group of rare diseases in which an abnormal protein misfolds and deposits as amyloid in organs and tissues, causing damage and eventually organ failure. There are different types of Amyloidosis, and they vary from one another in their biochemical nature and natural history. Some are acquired, and others are inherited. In the United States, approximately 4,000 people develop Amyloidosis each year. It is currently recognized to be wildly underdiagnosed, and therefore that number is expected to rise significantly.

About the Position

ARC is seeking a full-time Project Coordinator to provide administrative support for research programs and planned events.
As a Project Coordinator, you will assist project teams with organizing and managing aspects of ARC programs to ensure their success. The primary responsibilities of this position are monitoring project activities, communicating project details, coordinating in-person and virtual meetings, and providing other administrative support to cross-functional project teams. In addition to ongoing project coordination, this position will also provide logistical and administrative support for planned bi-annual/annual in-person and virtual events. Based on the nature and timing of these events, the Project Coordinator may be called upon for other tasks at short notice. Occasional evening, weekend work, and travel will be required in support of specific events.

Primary Responsibilities (estimated 60% of time)
  • Monitor project timelines, ensure progress for multiple project workstreams, and implement changes as necessary under the direction of the project leader.
  • Provide progress updates to project team members and other stakeholders.
  • Organize and maintain electronic files, and facilitate sharing with external stakeholders as required.
  • Organize reports, invoices, contracts, and other project files.
  • Assist with project meetings through scheduling, creating meeting materials, and tracking action items.
  • Provide administrative support to ARC's research team, including development and submission of institutional review board (IRB) materials, assistance with survey preparation and testing, and formatting and submission of abstracts, posters, and manuscripts to journals and conferences.
  • Assumes other duties and responsibilities that are appropriate to the position.

Secondary Responsibilities (estimated up to 40% of time):
  • Participate in planning activities for bi-annual/annual events with ARC leadership, including identification of media and technology, catering, and accessibility needs.
  • Research potential event venues and communicate with external service providers to request proposals.
  • Assist with management of event invitations, registrations, and marketing activities.
  • Develop tools and processes to ensure event success, including tracking files, reports, checklists, timelines, and event calendars.
  • Provide onsite support at in-person events including set-up and wrap-up, as required.
  • Monitor event expenses and track against budgets, as well as ensure timely processing of invoices and honoraria as required.
  • Coordinate development of materials, printing, and supply needs for meetings, workshops, conferences, and other internal and external events as required.

Basic Qualifications:
  • Bachelor's degree (BA/BS).
  • One or more years of work experience as a Project Coordinator or comparable administrative role (e.g., Research Coordinator, Administrative Assistant).
  • Proficient with Microsoft Office (e.g., Word, Excel, PowerPoint, Outlook) and video conferencing applications (e.g., Zoom, Microsoft Teams).
  • Strong organizational skills and the ability to perform and prioritize multiple tasks, and quickly identify and resolve problems.
  • Ability to work independently and collaboratively as part of a team within a dynamic work environment that includes virtual teams.
  • Excellent verbal and written communication skills, and ability to capture conversations and translate (meeting notes) into concise summaries.

Preferred Qualifications
  • A bachelor's degree in a health-related field is preferred (e.g., health sciences, nursing, biological sciences, public health).
  • Prior work experience in academic research, public health, or life sciences organizations setting.
  • Experience with project planning tools (e.g., Microsoft Project, Wrike, Notion).
  • Experience with managing budgets.
  • Experience with event planning and coordination (e.g., conferences, large in-person meetings).
