- Monitor project timelines, ensure progress for multiple project workstreams, and implement changes as necessary under the direction of the project leader.
- Provide progress updates to project team members and other stakeholders.
- Organize and maintain electronic files, and facilitate sharing with external stakeholders as required.
- Organize reports, invoices, contracts, and other project files.
- Assist with project meetings through scheduling, creating meeting materials, and tracking action items.
- Provide administrative support to ARC's research team, including development and submission of institutional review board (IRB) materials, assistance with survey preparation and testing, and formatting and submission of abstracts, posters, and manuscripts to journals and conferences.
- Assumes other duties and responsibilities that are appropriate to the position.
- Participate in planning activities for bi-annual/annual events with ARC leadership, including identification of media and technology, catering, and accessibility needs.
- Research potential event venues and communicate with external service providers to request proposals.
- Assist with management of event invitations, registrations, and marketing activities.
- Develop tools and processes to ensure event success, including tracking files, reports, checklists, timelines, and event calendars.
- Provide onsite support at in-person events including set-up and wrap-up, as required.
- Monitor event expenses and track against budgets, as well as ensure timely processing of invoices and honoraria as required.
- Coordinate development of materials, printing, and supply needs for meetings, workshops, conferences, and other internal and external events as required.
- Bachelor's degree (BA/BS).
- One or more years of work experience as a Project Coordinator or comparable administrative role (e.g., Research Coordinator, Administrative Assistant).
- Proficient with Microsoft Office (e.g., Word, Excel, PowerPoint, Outlook) and video conferencing applications (e.g., Zoom, Microsoft Teams).
- Strong organizational skills and the ability to perform and prioritize multiple tasks, and quickly identify and resolve problems.
- Ability to work independently and collaboratively as part of a team within a dynamic work environment that includes virtual teams.
- Excellent verbal and written communication skills, and ability to capture conversations and translate (meeting notes) into concise summaries.
- A bachelor's degree in a health-related field is preferred (e.g., health sciences, nursing, biological sciences, public health).
- Prior work experience in academic research, public health, or life sciences organizations setting.
- Experience with project planning tools (e.g., Microsoft Project, Wrike, Notion).
- Experience with managing budgets.
- Experience with event planning and coordination (e.g., conferences, large in-person meetings).
