Duration & Type: 12 months Contract with a major pharmaceutical industry client
Location: Cambridge, Massachusetts (This is a hybrid – remote/onsite position)
Responsibilities:
- Project Coordination for Global Medical Affairs Teams including: Medical Communication & Operations (MCO), Global Medical Strategy and Health Economics (GMS & HECON), Center for Outcomes Research & Epidemiology (CORE)
- Under the direction of MA Ops Managers for Global Teams, maintain Global Functions Intranet page for Medical Affairs
- Coordinate with MA Operations to streamline and maintain the Medical Affairs Resource Site (MARS) SharePoint Intranet repository,
- Support Global Medical Affairs Operations Managers with contract management, contract e-signature collection in DocuSign and contract filing and processing in Companion
- Ensure contracts/documents are submitted into SAP as part of Purchase Requisition and filed in Companion appropriately
- Support with raising Purchase Requisitions (PRs) for Global Medical Affairs teams
- Monitor workflows and status of PRs to ensure smooth transition to POs
- Work with Procurement to resolve any issues with PR/POs for individual countries.
- Support Global MA teams when establishing new vendors by working closely with MA Ops and Procurement to resolve any issues that may arise.
- Support with processing invoices for Global Medical Affairs teams
- Coordinate and liaise with local affiliate admin/finance personnel to resolve any invoices queries/issues as needed.
- Record info on all PRs raised for Global MA teams, such as coding of each PR (GL and WBS codes), PR number, PO number, and delivery date
Required:
- Education: Bachelor’s degree, or equivalent, with a focus in Finance, Business or accounting related discipline expected; Post graduate qualifications in business related field preferable.
- 3 years’ experience in pharmaceutical in finance or business operations role.
- The candidate would need to have purchase order and invoicing experience and be familiar with SAP system
- The candidate would need to be comfortable with numbers and have good excel skills
- Proactive with strong organizational skills
- Strong team player with excellent coordination skills
- High attention to detail and accuracy
- Comfortable working across countries and teams, remotely
- Excellent interpersonal and communication skills
