We have an opening for a Project Coordinator II in our Design + Planning Practice Area. This is a hybrid position working out of our Raleigh, North Carolina office.
Project Coordinators assist Practice Area Leads, Directors, Project Managers (PM's) in the systematic and consistent facilitation of practice operations and processes, project deliverables, milestones tracking, and project permitting.
Responsibilities include coordination, communication, and adherence to Company and Department processes, procedures, and standards and the promotion of Company culture and core values. They are responsible for contributing towards a positive working environment for the Design + Planning Team.
Duties and Responsibilities
Project Responsibilities
- Assist project leadership in the organization of project tasks, needs and processes.
- Assist in coordinating project courier needs.
- Coordinate the preparation of deliverables such as copying and binding with project leaders.
- Schedule, participate in, and document project and team meetings as directed.
- Represent our Company in communications with clients per PM direction.
- Coordinate with project leaders on the preparation of proposals.
- Assist project leaders with tracking projections, schedules, and project financials to ensure adherence to deadlines and budgets.
- Communicate regularly with project leadership about permitting progress, significant challenges, deviations from schedules, or incidents that occur on projects.
- Assist project leaders with documenting project meeting minutes and capturing project progress and action items.
Technical
- Generate and review letters, emails, and other correspondence prepared by the technical team.
- Assist with and facilitate permitting and associated submittals including NCDOT; and Railroad Encroachment Permits, water and sewer permits, grading permits, and ancillary permits.
- Responsible for coordination and communication of regulatory requirements for project permitting.
- Assist in analyzing and devising new or improved techniques, approaches, and alternative solutions to project processes and SOPs, including project scheduling, and permitting.
- Utilize Company's current technology as much as practical to facilitate projects.
- Execute administrative tasks as directed by the Department and Company.
Client and Business Development
- Coordinate and process Client Feedback Surveys including response follow-up.
- Assist with budget and Capital Improvement Program research for department business development pursuits.
- General financial tracking

Requirements
Required:
- Associate degree, Bachelor's degree preferred
- 4+ years of engineering, regulatory, and/or administration experience
- Experience in Microsoft Office applications
- Experience with Smartsheet
- Experience with time management and customer relationship management software
- Self-motivated, engaged, and team-oriented
- Basic knowledge of contracts and permitting requirements
- Execute multiple tasks under tight deadlines and prioritize responsibilities
- Excellent attention to detail and ability to be proactive
- Excellent professionalism and oral and written communication skills
- Demonstrate personal investment in your career
- Energetic, flexible, confident, and forward thinking
Preferred:
- Experience with Adobe Creative Suite and Unanet
- Technical certificates or equivalent experience
Working Conditions
The assignment may require infrequent evening/weekend work. Candidates should enjoy working in a collaborative, fast-paced, and client-driven environment.
Physical Requirements
The assignment may occasionally require repetitive physical tasks (such as operating a computer), standing and/or sitting for extended periods of time, extended travel time in a vehicle, and carrying equipment and materials up to 25 pounds.
