Pay Range
$89,670 - $111,324 Annually
Please note that the pay range information is a general guideline only. Many factors are taken into consideration when setting starting pay including education, experience, the external labor market, and internal equity.
Job Description
We are seeking a highly organized and detail-oriented Program Coordinator, Talent Acquisition to manage our growing Academic Cooperation Program (ACP). This individual will spearhead a transformation of our current ACP model into a program that operates at scale. We’re looking for this individual to partner with developers to modernize the tools and workflow used in managing ACP requests, present to and train LLNL staff regarding ACP topics such as eligibility and timeline requirements and promoting ACP both internally and externally to grow interest in the program.
This individual will also manage the documentation and administrative processes associated with bringing externally-funded students and recent grads into our dynamic research environment.
This role will be remote eligible.
You will:
Manage all aspects of the Academic Cooperation Program, including modernizing tools and workflow, provide ongoing training and resources to LLNL staff, promote all facets of ACP both internally and externally, process ACP requests, manage documentation, and ensure compliance with organizational and external funding requirements.
Respond to program inquiries by providing timely and accurate information to prospective and current externally funded students and recent grads, academic institutions, and funding bodies.
Maintain accurate and up-to-date records of all program participants, including tracking progress, program evaluations, and compliance with program guidelines.
Assist in the development and implementation of program policies and procedures to ensure a seamless and enriching experience for externally-funded students or recent grads.
Prepare and organize training materials for ACPs for reference.
Provide support to externally-funded students or recent grads throughout their tenure, addressing issues or concerns that may arise.
Assist in the preparation of reports and presentations related to the Academic Cooperation Program for internal and external stakeholders.
Contribute to improvement efforts by gathering feedback and suggesting enhancements to the program.
Backup the Visiting Scientist and Professional Program Coordinator during non-peak season as needed.
Perform other duties as assigned.
Qualifications
Bachelor’s degree in Human Resources, Business Administration, or a related field or equivalent work experience.
Experience in a human resources or administrative role, preferably in an academic or research environment.
Excellent program, organizational and time management skills, with the ability to handle multiple tasks simultaneously and meet deadlines.
Strong communication and interpersonal skills, with a proven ability to work effectively with diverse groups of people.
Experience maintaining records and tracking progress and compliance within a structured program.
Proficiency in HRIS systems and Microsoft Office Suite (Word, Excel, PowerPoint).
Knowledge of employment laws and regulations.
Ability to maintain confidentiality and handle sensitive information with discretion.
Qualifications we desire:
Program management experience, ideally within a recruiting program.
Experience hiring and onboarding students.
Knowledge of externally-funded hiring processes within a research environment.

Security Clearance
This position requires a Department of Energy (DOE) Q-level clearance.
