Under the supervision of the Program Manager, Group Supported Employment, the Program Coordinator is responsible for specific management of program participant services and specified enclave/mobile work crew employment sites. Supports other management staff in providing related services. Assists Sales and Marketing Department as required in site procurement and contract administration. Assists in administering daily operations and supervises direct support staff. Acts as liaison among ECHO program participants, families, Support Coordinators, and ID Teams. Assists with maintaining ECHO’s compliance with all federal, state, and local program requirements.

Essential Functions

  • Provides direct supervision of the Employment Support Specialist (ESS) in Group Supported Employment.
  • Includes but not limited to scheduling, performance monitoring and evaluation, leave approval, disciplinary action, record monitoring, training, recognition, and hiring/firing.
  • Provides daily support and coverage as needed for ESS, covering all ESS duties for absent staff or callouts.
  • Record integrity and monitoring.
    • Reviews and approves daily notes to ensure accuracy, quality, and timeliness.
    • Reviews and/or enters participant time in Vertex, ensuring accuracy and timeliness for billing purposes.
    • Ensures WAMS is updated (service authorizations, ISPs) and follows up on issues.
    • Ensures documentation and records for individuals receiving services meets standards for Medicaid, DBHDS Licensure, CARF, and all other entities providing oversight to ECHO services.
  • Participates in the Individual Service Planning process.
    • Develop ISP’s/PCPs in conjunction with the program participant, families, case management, and enclave staff.
    • Writes professional, comprehensive plans and any related reports for assigned caseload.
    • Ensures staff is trained and is implementing ISP outcomes and protocols.
    • Maintains updated ISP-related and annual paperwork and protocols for participants on caseload and disseminates as appropriate.
    • Complete quarterly reports for individuals on the caseload based on PCISP dates.
  • Program Activities.
    • Maintain contact with families, residential providers, and support coordinators to ensure successful placement for individual’s served, and smooth coordination of services.
    • Follow up and troubleshoot with host companies as necessary.
    • Monthly utilization review for assigned program participants, ensuring that all slots are filled.
  • Assist DSPs to identify, recommend and implement meaningful worksite and community based activities that supports cultural diversity and improve understanding of individuals similarities and differences of different people and communities around the world while incorporating program participant preferences and choices, support the community and maximize the independence and esteem of individuals served while enhancing the understanding and awareness of others in the community to better include the people we service.
    • Assist DSPs to identify, recommend and implement worksite activities.
  • Represent ECHO at planning/outreach meetings as required.
    • Monitors participant attendance to ensure 75% threshold is met.
  • Additional job-related duties as assigned, including but not limited to:
    • Assists the QIPI Department with investigations of human rights complaints and ensures documentation is completed in a timely manner.
    • Represents ECHO at planning/outreach meetings and events as required.
    • Cross-trains in other programs to be able to provide coverage during times of reduced staffing.
    • Provides crisis intervention as needed.
    • Substitutes for ECHO drivers as needed.
  • Leadership.
    • Works collaboratively and maintains positive, professional relationships with colleagues and participants.
    • Is reliable and flexible. Sets the example for staff by following all agency policies and procedures.
    • Sets clear, consistent expectations for program staff and participants.
  • Training.
    • Participates in in-service training to satisfy agency needs/requirements.
    • Completes all assigned online training assignments within timeframe.

Minimum Position Requirements

  • Bachelor’s degree in human services plus one year experience working directly with individuals who have developmental disabilities preferred.
  • Any combination of education/experience equivalent to a master’s degree.
  • In lieu of degree, a minimum of five years’ experience working directly with individuals who have developmental disabilities.
  • Must demonstrate an understanding of clinical risk.
  • Previous experience in a lead role or demonstrated potential to act in a lead capacity.
  • Must demonstrate consistent professional conduct and meticulous attention to detail.
  • Must possess excellent verbal and written communication skills as well as excellent interpersonal skills with participants, staff, and other health care professionals.
  • Familiarity with EHR systems

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of the job. While performing duties of this job, the employee is required to talk, type, sit, open and close filing cabinets, push a wheelchair and rider, and lift up to 50lbs.
