Program Coordinator, Partners in the Arts Program - 502039
SUMMARY:
Plans and coordinates the day-to-day programmatic, administrative, and operational activities of the Partner in the Arts (PIA) program, and provides support to the program Director. Duties include program administration and implementation, internal and external operational and administrative liaison, program marketing and reporting, project and grant planning and administration, budget management and control.
RESPONSIBILITIES:
- Provides administrative and strategic support in the development, implementation, and marketing of program/project function. Creates content and maintains promotional and educational materials for website, educational resources, social media, print and other formats; collects and analyzes data; writes and prepares scheduled and special reports; maintains program/project records and statistical information.
- Assists Director in planning and implementation of arts integration workshops, courses and development of resources. Duties include scheduling, liaising with instructors, coordinating reservations, technical, and catering requests, writing and preparing student packets, event attendance, processing assessments, and following up with grading and evaluations.
- Assists Director in administering Partners in the Arts' community-engagement project implementation program, including writing and marketing the program, recruiting and contracting with community and University experts, communicating with K-12 and community participants, planning and documenting school visits, processing, reviewing invoices, and initiating payments, and compiling reports on completed projects.
- Assists Director in developing and writing print materials, including grant proposals, arts integration information, news features and other promotional materials; writing promotional and fund-raising documents; may develop or participate in the development of funding proposals for the program.
- Communicates in person, through telephone and email with artists, arts organizations, teachers, educational administrators, UR employees, vendors, and the general public to provide information about Partners in Arts and to help administer the program on a daily basis. Represents Partners in the Arts at public venues such as conferences, education and arts organization meetings, and in other arts and cultural education settings.
- Prepares invoices, purchase orders and check requests, processes travel expense forms and invoices, tracks purchasing card charges, and reconciles statements. Manages the Director's calendar, and program calendar and organizes mail, supplies, multi-purpose machines. Monitors and administers program/project revenues and expenses.
- Administer intern, student employee, and volunteer, program including supervising and training as appropriate.
- Performs other job-related duties as assigned.
QUALIFICATIONS:
- Advanced knowledge of Microsoft Office suite, current information technology and applications.
- Ability to create content for and maintain Partners' social media, including a blog, Facebook, YouTube, Twitter, Pinterest, and Instagram.
- Knowledge of regional preK-12 education systems and priorities.
- Ability to communicate effectively in writing, orally, and electronically.
- Ability to work well with faculty and staff.
- Ability to collaborate with PIA's constituencies (preK-12 school administrators and teachers, artists, and arts organizations) and handle issues and problems pertinent to delivery of PIA's teaching resources.
- Ability to collect and assess PIA data from annual summer institute, courses, workshops, and school projects.
EDUCATION & EXPERIENCE:
- Bachelors required, Masters in Education or Arts related field preferred
- 3-5 years of administrative and program support function in an office setting, or experience in education as classroom teacher or other, or non-profit organization, as a staff member, or consultant.
WORK HOURS:
- Full-time, non-exempt position
- Business hours are Monday - Friday, 8:30 a.m. - 5:00 p.m.; Exact schedule to be determined; This position will work approximately 32 hrs./week
SALARY STRUCTURE:
Pay Grade 4 (Hiring Range $17.70 to $24.34 per hour)
