Position Description
The Program Coordinator will perform a wide variety of program functions in support of the apprentice candidate experience and outcomes. The ideal candidate is solutions oriented, reliable, responsive, approachable, solution-focused, detail-oriented, adaptive, and focused on continuous improvement.
Key Responsibilities
Program Operations Team Participation
- Actively engages with the team to advance the program mission and meet outcomes.
- Works with and in alignment with the Regional Program Managers in support of programmatic and hiring partner goals.
- Coordinates with key partners in other functional areas such as marketing and education in support of apprentice recruitment, placement and successful program completion.
- Assists the team with special projects and other duties as needed.
- Answers and redirects email inquiries to the general Apprenti email inbox.
Candidate Recruitment and Apprentice Management
- Understands and articulates the value proposition of registered apprenticeship to apprenticeship candidates.
- Communicates with community-based organizations to recruit for specific opportunities as needed and provides support to Apprenti’s Strategic Sourcing Manager.
- Screens and interviews apprentice candidates.
- Responds to candidate and apprentice inquiries via email and phone.
- Supports Regional Program Managers on an as needed basis– Duties may include:
- Coordinating and helping to deliver apprentice orientations, including customization of presentation and onboarding materials.
- Guiding selected apprentices through incentive fund application processes.
- Monitoring apprentice performance during training and on-the-job, and providing escalation support where needed.
- Monitoring apprentice and employer surveys during on-the-job training and assisting with apprentice performance and retention issues.
Data, Documentation and Compliance
- Manages and updates candidate and apprentice data in Salesforce, Apprenti Google Drive, and state and federal reporting systems.
- Maintains file integrity and confidentiality by monitoring records and assuring compliance.
- Documents processes and contributes to system and process improvements.
- 5+ years of administrative, case management or program support experience
- Able to plan, prioritize and complete assignments with minimum supervision
- Strong written, verbal and interpersonal communication skills in a business environment
- Attention to detail ensuring accurate and timely program implementation
- Able to plan, prioritize and complete assignments
- High level of integrity and trustworthiness; maintains confidentiality and privacy, admits & problem solves mistakes, and meets commitments
- Ability to actively work without frequent interruption or distraction during standard business hours in the time zone of residence, with some flexibility to work outside of standard hours on occasion.
- Ability to travel on occasion for recruitment and community outreach events.
