Located within the Office of Teaching and Learning (T&L), the Instructional Systems and Supports (ISS) team is responsible for creating, managing, and supporting equitable systems for schools in the areas of grading (including Competency-Based Education), scheduling, and recovery. Through establishing consistent collaboration with all stakeholders, making data-informed decisions, and ensuring that current policy is followed, the ISS team provides schools with the systems and supports needed to ensure that students have a high-quality instructional experience and are able to successfully complete both elementary and high school.
Job Summary:
The Program Coordinator will assist with the implementation and execution of effective Academic Recovery programming, which provides elementary and high school students with customized, intensive instruction to meet their individual needs, enabling them to meet promotion criteria and/or graduation requirements. Under the direction of the Executive Director, Instructional Systems & Supports and department leaders, this position will support the ISS team in realizing the district's goals for student promotion and success in high school.
The Program Coordinator will be held accountable for the following responsibilities:
- Collaborate with offices and departments, administrators, and school-based staff across the district to support and ensure the successful implementation of Academic Recovery Programs.
- Support partnerships with external agencies to support innovative practices in Academic Recovery Programs.
- Assist the Manager with ordering necessary materials in advance of scheduled programming
- Provide ongoing support for school site implementation, including:
- Logistical support such as scheduling instructor training, preparing training materials, collecting & monitoring attendance data, etc.
- Maintaining communication with school leaders and school-based staff to ensure clear messaging around program implementation.
- Regularly conducting school site visits to monitor program implementation and ensure that school sites have the materials required to effectively execute summer bridge and acceleration programming (ex: textbooks, student toolkits, etc.)
- Assist with managing, tracking, and responding to inquiries received via the Academic Recovery hotline and inbox; collaborate with the Manager to provide support for school inquiries, including collecting necessary information, communicating with stakeholders regarding identified challenges, and effectively resolving issues raised.
- Regularly monitor the district's Dashboard to assist the Manager with identifying any concerns through Data Quality Indicators(DQIs); provide support to school-based staff to resolve DQIs that may arise.
- Utilize the district's Dashboard data to develop and present progress reports to the Executive Director and Manager, including but not limited to:
- Weekly data on attendance, grades, and other program metrics
- Weekly implementation reports, tracking impact on student achievement ie. instructional technology usage rates, student progress reports, etc.
- Model the routine, intentional and effective use of technology in daily work, including communications, organization and management tasks.
- Perform additional duties as assigned
In order to be successful and achieve the above responsibilities, the Program Coordinator must possess the following qualifications:
Education Required:
- Bachelor's degree from an accredited college or university is required
- Master's degree, preferred
Experience Required:
- Minimum of three (3) years of professional experience in program/project coordination and/or management, including the following, is required:
- Experience leading or supporting large-scale youth programs
- Experience working with and analyzing program data
- Experience working in urban education or with a youth-serving agency is preferred.
Knowledge, Skills, and Abilities:
- Ability to demonstrate a keen awareness of the moral imperative to work in the best interest of all children.
- Strong understanding of the complexity and variety of challenges facing urban students.
- Effective verbal and written communication and interpersonal skills.
- Outstanding organizational and time-management skills, including the ability to manage multiple priorities simultaneously within a fast-paced environment
- Ability to effectively assist in planning and organizing program operational duties.
- Ability to define problems, maintain accurate data/data sets, analyze data to glean insights, and outline valid conclusions and action steps
- Ability to develop and maintain positive, collaborative relationships with a variety of stakeholders, including external partners and CPS staff across all levels of the organization.
- Strong service and support orientation towards schools and school communities.
- Ability to support and align to strategic planning processes and project management principles.
- Strong technology skills, including Google Suite and Microsoft Office applications; ability to quickly learn and use internal CPS systems and software

Conditions of Employment
As a condition of employment with the Chicago Public Schools (CPS), employees are required to:
- Establish/Maintain Chicago Residency - Employees are required to live within the geographic boundaries of the City of Chicago within six months of their CPS hire date and maintain residency throughout their employment with the district. The Chicago residency requirement does not apply to temporary/part-time positions, however, all CPS employees must be residents of Illinois.
- Be Fully Vaccinated Against COVID-19 - Unless approved for a medical or religious exemption, all employees are required to be up-to-date on COVID-19 vaccinations, including boosters, and to submit proof of vaccination to the district within 30 days of hire. "Up-to-date" on vaccination is defined as being at least two weeks past all primary vaccine doses and any applicable boosters.
