Job description

ROLE:

Part-Time Program and Tech Coordinator

Location:

Anywhere; Northern CA preferred

(5 – 10% travel may be required on an annual or semi-annual basis)

SUMMARY:

The Chaplaincy Institute (“ChI”) is a remarkable place of learning. Our renowned interfaith chaplaincy and spiritual direction programs equip graduates for spiritual care and social transformation in a changing world.

This position begins with your learning and administering the processes we already have and grows as you help us build our processes and organization into something lasting and even more special.

Location: Remote

This is a part-time position that works 16 hours per week. All hours will be designated to the completion of tasks related to programming and Tech support.

ESSENTIAL DUTIES & RESPONSIBILITIES:

Program Coordination and Registration Support (reports to the Dean)

  • Serves as first line of contact by phone or email for faculty & students and ensures highest quality experience for each by communicating clearly, being organized, and anticipating needs before they arise
  • With Dean’s support, schedules courses by coordinating with an established base of educators and an established, repeating curriculum, making changes as needed
  • Is available, as needed, at the beginning of each course to provide support and ensure strong beginnings
  • Is available, as needed, to provide in-course technical support
  • Provides support for registration services:

o Inputs and updates student registrations for all courses & offerings

o Adds new students to all technology platforms

  • Other tasks as assigned

Administrative Support (reports to the Operations Manager)

  • Supports the management of records and other data through the organization, maintenance, and filing of organizational information
  • Provides monthly reports to the Operations Manager to meet the organization’s monthly reporting needs

Technical Support (reports to the Operations Manager)

  • Troubleshoots technical issues for staff as needed with the website and in Salesforce and other LMS and CRM’s
  • Makes minor to moderate updates to ChI’s website
  • Informs Operations Manager of software needs
  • Trains users on new software and programs

Event Support (reports to the Dean, Community Minister, and Operations Manager)

  • Serves as a point of contact in support of Chaplaincy Institute Events (virtual and in-person)
  • Communicates with vendors including event venues, and all other support services as needed (A/V, catering, etc.)
  • Serves as a point of contact for event attendees to ensure highest quality student experience and faculty experience at events
  • Attends events as needed (virtual and in-person)
  • Other tasks as assigned

EDUCATION, EXPERIENCE, QUALITIES:Detail and process-oriented; recognizing when creativity has its place but placing priority on details and process; highly organized and enjoys focusing on the task at hand; finds ease in meeting prescribed deadlines; self-motivated; works well with moderate to minimal supervision.

· Experience in administrative roles and/or a natural organizer. You are excited about details and processes, and once you have been shown around, you like to work with moderate to minimal supervision

· Organization expert: You have an eye for details, the ability to anticipate the needs of those you work closely with, and prioritize well, especially under pressure. You enjoy focusing on the task at hand, timeliness and delivering results are practically your middle name.

· Tech-Savvy: You intuitively get technology. What you have not directly used, you pick up quickly. Having experience with Salesforce, Moodle, Wufoo, WordPress or other online learning platforms would be highly beneficial as we tend to use them for a number of our administrative tasks. Knowledge and use of Microsoft Office or similar products is also required.

· Strong and Clear Communication: You have an outstanding ability to communicate tactfully in writing and verbally. When uncertain, you don’t hesitate to ask clarifying questions. You set strong and clear boundaries and stick to them. You are friendly and professional.
