JOB GOALS
To receive and channel all incoming calls, provide assistance to the public, and perform various routine office assignments.
ESSENTIAL FUNCTIONS
- Receives and channels incoming calls and provides public service information;
- Greets the public and provide information as needed or alert staff to guest;
- Distributes incoming mail and ensures all mail is posted, UPS, Federal Express, certified, etc.;
- Purchases postage via telephone and delivering to the post office;
- Ensures postage machine and scales are in compliance with laws and postal rates;
- Delivers postage meter to the post office to be checked on a quarterly basis;
- Maintains office equipment such as fax machines, copy machines, etc.;
- Orders office supplies;
- Manages Record Request such as school records and Census Reports;
- Prepares scheduling for Board Room;
- Makes copies as requested by Secretaries and Directors;
- Directs the Couriers when necessary;
- Maintains an efficiently-operated office; and
- Performs other work-related duties as assigned by administration.
QUALIFICATIONS
- Not less than a high school education or general equivalency diploma.
- Knowledge of typing, office machines, and computers.
- Proficient in receiving telephone calls and meeting the public.
PHYSICAL DEMANDS
This job may require lifting of objects that exceed 25 lbs., with frequent lifting and/or carrying of objects weighing up to 10 lbs. Other physical demands that may be required include stooping and/or kneeling, reaching, talking, hearing, and seeing.
